Job Summary:
The Office Coordinator is responsible for supporting all administrative and customer service functions within the plant. This includes office organization, invoicing, sales support, product delivery, and general customer service duties.
Key Responsibilities:
- Reconcile the cost on the customer purchase order with the 84 Components selling price, resolving any discrepancies before proceeding with the order.
- Enter orders into the schedule, ensuring allotted man-hours and shipping capabilities are considered.
- Verify ship dates three days before delivery.
- Follow up and track quotes.
- Order delivery permits.
- Send order confirmation sheets detailing quantity, dollars, and delivery date.
- Obtain signed order change authorizations from customers before implementing any product changes.
- Review the schedule daily for complete information and inform customers of any delivery date changes as needed.
- Ensure approvals are received from customers in accordance with the P&P manual timelines.
- Support the sales staff by providing quote information.
- Maintain a neat and orderly work area, including file cabinets and bin systems.
- Follow up on build and hold orders in a timely manner.

Responsibilities
Customer interaction via telephone and e-mail (schedule, quote follow up, service)
Computer input of quotes and orders while maximizing schedule
Invoicing of shipped order and appropriate billing of each customer
Administrative duties to assist in business operations (filing, phones, mailings, new hire processing)
Duties as assigned to create efficiencies within Sales, Design and Production groups.
