Position Summary
The Home Office Event Coordinator is tasked with ensuring the smooth operation of our Corporate Office meetings and functions, providing an exceptional Team Member experience, and serving as the main point of contact for booking, planning, and timely event execution.
The Home Office is seeking a friendly, energetic, and experienced individual to coordinate Clayton Homes meetings, trainings, conferences, and retreats. This individual will work closely with the Event Manager and be responsible for ensuring all events run smoothly and are in line with Clayton standards and brand.
Duties / Responsibilities:
- Serve as the main point of contact for bookings, changes, and cancellations.
- Responsible for confirming and reviewing event needs with the necessary facilitators, partners, and vendors.
- Host pre-conference meetings with event facilitators to ensure all requests for meeting rooms are met.
- Work through details with event hosts including room layouts, tech requests, décor, transportation, entertainment, etc.
- Responsible for keeping the Home Office event support team up to date with any event changes.
- Conduct post-conference meetings with the Home Office event support team to search for areas of opportunity.
- Maintain excellent working relationships with the Lodge Team, Home Office event support team, Liaisons, Facilitators and Vendors.
- Assist event hosts and caterers with menu development and oversee all food/beverage details on the day of the event.
- Assist in tracking Home Office event usage.
- Evolve specific business unit preference sheets.
- Assist with the planning and execution of company-wide events.
- Lead tours of the Home Office for Clayton partners and other visiting guests.
- Other duties and special projects as assigned.
- Occasional weekends may be required.
Qualifications:
- Bachelor’s in hospitality or related field preferred.
- 2 years related experience required; 2-3 years preferred.
- Understand the importance of being thorough, detail-oriented and committed to providing an outstanding Team Member Experience.
- Tour experience preferred.
- Cooperative attitude and willingness to collaborate with other teams.
- Positive, customer-service focused attitude and ability to handle challenges and stay calm under pressure.
- Self-starter with ability to prioritize and manage multiple projects on different timelines.
- Ability to work with minimal direction.
- Excellent follow-through skills, with superb attention to detail and organization skills.
- Excellent written and verbal communication skills.
- Strong prioritization skills and a track record of consistently going above and beyond with out-of-the-box thinking.
