Essential duties
- Warmly welcome and assist customers, visitors, vendors, employees, and applicants with a courteous demeanor.
- Efficiently manage incoming calls at the main office, directing calls to the appropriate personnel and addressing routine inquiries using established guidelines.
- Uphold safety and security standards by monitoring the front parking lot and main lobby entrance.
- Attend to voice mails, messages, and call follow-ups promptly, forwarding them as necessary.
- Handle various logistical aspects, including preparing, shipping, receiving, and distributing packages and mail.
- Undertake organizational tasks such as arranging, filing, typing, copying, collating, binding, scanning, laminating, and crafting memos and correspondence as required. Additionally, manage incoming faxes and correspondence efficiently.
- Establish and maintain both electronic and physical filing systems for streamlined access to essential documents.
- Draft a variety of communications, including memos, emails, and reports tailored for internal and external audiences.
- Monitor and manage supplies inventory by assessing stock levels, anticipating requirements, and submitting purchase requests as needed. Maintain a comprehensive logbook of transmittals, purchase orders, and supply expenditures.
- Ensure the cleanliness and availability of employer-supplied items in various spaces like the office kitchen, break room, conference rooms, supply closets, cabinets, copy room, and restrooms.
- Complete errands, which may involve visits to the post office, bank, and assisting with lunch arrangements.
- Provide valuable administrative support to optimize office operations as required.
- Fulfill any additional duties as necessitated by the evolving needs of the role.

Technical Skills
- Mastery of essential software, encompassing Microsoft Word, Excel, Outlook, Microsoft PowerPoint, and Adobe Acrobat.
- Demonstrated adaptability in learning new software applications.
- Fluent navigation of office equipment, comprising computers, printers, copiers, etc.
- Aptitude for swiftly acquiring fundamental computer skills when required.
- Bi-lingual (Spanish) is strongly preferred.
Supervisory Responsibility
- This position has no supervisory responsibility.
Work Environment
- Time is spent primarily sitting/standing in a climate-controlled office environment or shared office space.
- Periods of walking around the office and up and down the stairs each day will be mandatory for this position.
- Time is spent looking at a computer screen, typing with a keyboard, and using a mouse.
- Minimal construction site visits in outside natural environments are possible.
Physical Demands
- While performing the duties of this job, the employee is regularly required to talk, walk, hear, and see. Specific duties include moving packages and supplies (up to 30 pounds), walking up and down the stairs, and crouching and reaching for items will also be required on a minimal basis.
Position Type and Expected Hours of Work
- The full-time, non-exempt, front desk receptionist will work regular office hours from 7:30 AM to 5:00 PM, Monday through Friday.
- This position involves a 40-hour workweek, with at least 2.5 hours of overtime.
- The receptionist expected to be present at the front desk to greet visitors, answer phone calls, handle inquiries, and assist with administrative tasks. Additionally, some flexibility might be required during busy periods or for special events.
Travel
- No travel is required for this position; however, there will be days when this employee is expected to make local trips to run errands or pick up lunch.
