Description
The Office Administrator will provide general office support for a variety of clerical activities and tasks including answering incoming calls, managing the reception area, mail, requisitioning supplies, organizing office communication and activities on a day-to-day basis.
Responsibilities:
- Answering and directing phone calls to relevant staff
- Processing and directing mail and incoming packages or deliveries
- Ordering and taking stock of office supplies
- Greeting and directing visitors and new staff to the organization
- Input purchases for fleet invoices
- Order Business Cards
- Assists with Accounts Receivable and ACH
- Reconciliation of daily balance sheets, and invoices.
- Manages POS communications and organization.
- Cleaning office and common areas
- Assisting with repacking and damages as needed.
- Performs other related duties as assigned
- Finding ways to improve administrative processes

- Excellent time management and organizational skills
- Working knowledge of mail processes such as postage machine, FedEx, UPS
- Ability to enter data efficiently, timely and correctly in order to meet deadlines
- Ability to work independently or as a team player
- Attention to detail and a high level of accuracy and confidentiality
- Ability to contend with a wide variety of people on various issues
- Ability to work in a busy office with constant interruptions
Education and Experience:
- High school diploma or equivalent.
- Proficiency in Microsoft Office including Word, Excel, and Outlook as well as a demonstrated ability to utilize financial applications within ERP software (i.e. Encompass).
- 1 years of AR/AP experience
- 1 years of experience in Office Administration or related field
Preferred:
- Associates degree or Certificate in Finance/Business Administration or related field
- 3 years of AR/AP experience
- 3 years of experience in Office Administration or related field
Physical Requirements:
While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle, feel, operate a 10 key calculator or PC; reach with hands and arms; and talk or hear. The employee must occasionally lift and/or move up to 25 pounds, climb, reach and perform various physical maneuvers to perform the essential functions of the job. Specific vision abilities required by this job include close vision, distance vision, color vision and ability to adjust focus.
