Key ResponsibilitiesFront Desk & Office Operations
- Serve as the first point of contact for visitors, staff, and caseworkers, providing a welcoming and professional atmosphere.
- Manage daily office functions, ensuring efficiency and organization.
- Answer and direct calls, emails, and other correspondence professionally.
- Maintain accurate and confidential records, files, and databases.
- Order office supplies and ensure inventory is well-stocked.
- Maintain a clean and organized office space for the families we serve.
Administrative & Scheduling Support
- Assist with scheduling, calendar management, and appointment coordination.
- Track employee evaluations, vacation requests, and ensure timely approvals.
- Monitor case referrals and notify supervisors of upcoming expirations.
- Assist with updating the Master Case List and Mileage Logs.
- Resolve QuickBooks time discrepancies and ensure accurate documentation.
Quality Assurance & Compliance
- Conduct surveys with families and caseworkers to gather feedback on services.
- Ensure compliance with company policies and procedures.
- Occasionally provide backup support for visitation coverage and transport services.
Qualifications
- Required: High school diploma or equivalent.
- Preferred: Associate’s or Bachelor’s degree.
- Experience: 2 years in an administrative role (Office Administrator, Administrative Assistant, or similar).
- Familiarity with scheduling tools and office software (e.g., really, Monday, ADP).
- Strong organizational, time-management, and multitasking skills.
- Excellent written and verbal communication abilities.
- High level of professionalism, confidentiality, and problem-solving skills.
- Ability to work both independently and collaboratively within a team.
