A Blessing of Hope Family Services is looking for an exceptional Office Administrator to support our Visitation Center and manage daily administrative tasks. If you're a proactive problem-solver with strong communication skills, we want to hear from you.

Key ResponsibilitiesFront Desk & Office Operations

  • Serve as the first point of contact for visitors, staff, and caseworkers, providing a welcoming and professional atmosphere.
  • Manage daily office functions, ensuring efficiency and organization.
  • Answer and direct calls, emails, and other correspondence professionally.
  • Maintain accurate and confidential records, files, and databases.
  • Order office supplies and ensure inventory is well-stocked.
  • Maintain a clean and organized office space for the families we serve.

Administrative & Scheduling Support

  • Assist with scheduling, calendar management, and appointment coordination.
  • Track employee evaluations, vacation requests, and ensure timely approvals.
  • Monitor case referrals and notify supervisors of upcoming expirations.
  • Assist with updating the Master Case List and Mileage Logs.
  • Resolve QuickBooks time discrepancies and ensure accurate documentation.

Quality Assurance & Compliance

  • Conduct surveys with families and caseworkers to gather feedback on services.
  • Ensure compliance with company policies and procedures.
  • Occasionally provide backup support for visitation coverage and transport services.

Qualifications

  • Required: High school diploma or equivalent.
  • Preferred: Associate’s or Bachelor’s degree.
  • Experience: 2 years in an administrative role (Office Administrator, Administrative Assistant, or similar).
  • Familiarity with scheduling tools and office software (e.g., really, Monday, ADP).
  • Strong organizational, time-management, and multitasking skills.
  • Excellent written and verbal communication abilities.
  • High level of professionalism, confidentiality, and problem-solving skills.
  • Ability to work both independently and collaboratively within a team.

Pay: $20.00 per hour

Expected hours: 40 per week

Schedule:

  • 8 hour shift
  • Monday to Friday
