Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring that tasks are completed efficiently and effectively. This role requires a proactive individual with strong administrative skills and the ability to manage multiple responsibilities in a fast-paced environment.

Duties

  • Provide administrative support, including managing schedules, organizing meetings, and handling correspondence.
  • Assist with data entry and maintain accurate filing systems for documents and records.
  • Utilize QuickBooks for basic accounting tasks and financial record-keeping.
  • Manage office supplies inventory and place orders as necessary to ensure smooth operations.
  • Proofread documents for accuracy and clarity before distribution.
  • Utilize Google Suite applications to create presentations, spreadsheets, and reports.
  • Serve as a personal assistant to senior management, coordinating travel arrangements and itineraries.
  • Implement effective time management strategies to prioritize tasks and meet deadlines.

Reports to: Bishop and President of Board of ACCW

Receives work direction from: President, Members of the Board and Key Volunteers

Resource person to: President, Members of the Board and Key Volunteers

Hours hired to work: 16 - 19 hours per week (days & times to be determined in consultation with President or Bishop) May include work hours on Saturday and/or Sunday.

Compensation: $30-40/hour, commensurate with experience

Location: Wailuku, HI

Overview:

The Administrative Assistant works closely with the President, Members of the Board and Key Volunteers to support the business and mission of ACCW. This position requires knowledge of ACCW’s ministries and activities; strong organizational skills; excellent interpersonal manner and skills; basic computer and various software package skills, including Microsoft Office, MailChimp, and other software packages; and the ability to maintain confidentiality. Most importantly, successful candidates must have a passion for the mission of A Cup of Cold Water.

Principal Responsibilities:

1. Provide support to the President including general administrative and clerical tasks, research, interfacing with vendors, and communication with clients and volunteers as needed.

2. Help recruit and arrange training for new volunteers from churches, organizations and other sources. This could involve public speaking to service organizations, working booths at festivals etc.

3. Assist in creating and maintaining filing systems (paper and online) which contain volunteer forms, bookkeeping records, tax files, annual reports and all official documents required to retain our 501c3 status.

4. Administer the Safe Church Training required for board members and other volunteers.

5a. Collect the run information forms with date, number served, where the run went, miles driven, etc. and summarize for each month for report to President and Board.

5b. Keep Run Leaders updated with news (safety issues, alerts, new run routes, or any other operational needs) as needed.

6. Maintain database of donors and volunteers including listservs.

7. Assist with grant writing and follow-up.

8. Oversee public relations and ensure press relations, speaking engagements, etc. are relayed to E-News, Diocesan News, local media, Episcopal Church newsletters, Facebook, Instagram and other social media as deemed appropriate.

9. Manage the creation and distribution of email newsletters from ACCW.

10. Manage the email and phone communication processes with the various groups; RunLeaders, RunRiders, Supply Room, Logistics Team, In-Reach, Out-Reach, Clergy, Diocesan Council, Clergy, Friends, etc.

Other Responsibilities:

1. Assists with coordination of mission events and projects.

2. Organize an annual appreciation event for volunteers.

3. Organize and prepare documents for Annual Meeting.

4. Coordinate pick up of in-kind items donated.

5. Coordinate and ensure van registration and insurance coverage is current. Assure related documents are placed in the van.

6. Tasks that may arise, as directed by President or Bishop.

Physical Demands:

 Ability to go up and down steps to work in office on second floor. Be able to walk between Supply, Storage and Office as well as the Van.

 Perform physical tasks required to manage an office.

Qualifications

 High School graduation.

 Two years’ experience in non-profit work preferred.

 Strong organization skills, ability to prioritize and be flexible, demonstrated ability to multitask.

 Passionate about the mission of ACCW.

 Basic Knowledge and ability to utilize computer systems and software.

 Experience with Microsoft Office (Word, Excel, etc.).

 Demonstrated ability to work independently with little direction, strong problem-solving skills, and ability to find solutions and resources without direction.

 Have a valid Hawaii driver's license.

 Possess a comprehensive facility with the English grammar and language; strong written and verbal communication skills.

 As required of all employees of the Episcopal Church in Hawaii, voluntarily submit to and pass a criminal background check and maintain Safe Church Training credentials.

Job Type: Part-time

Pay: $30.00 - $40.00 per hour

Expected hours: 19 per week
