Reports to: President of Board of ACCW
Receives work direction from: President who may designate authority to select members of the Board and/or key volunteers
Resource persons: President, Bishop, members of the Board and key volunteers
Hours hired to work: 16 - 19 hours per week (days & times to be determined in consultation with President or Bishop) May occasionally include work hours on Saturday and/or Sunday.
Compensation: $35-40/hour, commensurate with experience
Location: Wailuku, HI
Overview:
The Manager works closely with the President, members of the Board and key volunteers to support the business and mission of ACCW. This position requires knowledge of ACCW’s ministries and activities; strong organizational skills; excellent interpersonal manner and skills; computer and various software package skills, including Microsoft Office, MailChimp, and other software packages; and the ability to maintain confidentiality. Most importantly, successful candidates must have a passion for the mission of A Cup of Cold Water.
Principal Responsibilities:
:
1.a. Provide support to the President including general administrative and clerical tasks, research, interfacing with vendors, and communication with clients and volunteers as needed.
1.b. Assist in creating and maintaining filing systems (paper and online) which contain volunteer forms, bookkeeping records, tax files, annual reports and all official documents required to retain our 501c3 status.
1.c. Assist with coordination of mission events and projects.
1.d. Organize and prepare documents for ACCW Annual Meeting and the Episcopal Diocesan Corporate Annual Meeting.
1.e. Coordinate and ensure van registration, safety check and insurance coverage is current. Assure related documents are placed in the van in timely manner.

2.a. Ensure pick-ups of in-kind items donated are completed in a timely manner by OMA or other assigned volunteer.
2.b. Ensure gift cards are purchased/obtained and put in van as needed. Ensure gift card inventory and distribution is tracked as per designated process.
2.c. Ensure the OMA collects the run information forms with date, number served, where the run went, miles driven, etc. and summarize for each month for report to President and Board.
2.d. Maintain master key set, and track and distribute keys as appropriate. Coordinate with President regarding facility maintenance.

3.a. Assist in creating and maintaining data collection, tracking and reporting that illustrate the scope and impact of our services, as well as inform fundraising, grant-writing and other funder and communication needs. A few examples here include: tables/graphs/etc. of run statistics; tracking volume/type of supplies purchased and donated (if possible), and other data that would be important to reflect the services rendered, costs and impact of our work and services.

4.a. Help recruit new volunteers from churches, organizations and other sources. This could involve public speaking to service organizations, working booths at festivals etc.
4.b. Ensure all paperwork for all volunteers is completed thoroughly and in a timely manner.
4.c. Ensure all volunteers are appropriately trained, including, administer the Safe Church Training required for board members and other volunteers and staff.
4.d. Keep Run Leaders updated with news (safety issues, alerts, new run routes, or any other operational needs) as needed.
4.e. Organize an annual appreciation event for volunteers.
4.f. Coordinate with Scheduling Volunteer as appropriate
4.g. Oversee the Supply Room management, including coordinating/supporting the Supply Room Volunteer Manager (SRVM) and collaborate with the SRVM to supervise the Supply Room staff member (OMA)
4.h. Maintain a database of all volunteers

5.a. Maintain database of donors including listservs.
5.b. Ensure “thank you’s” are sent to all donors as appropriate, coordinating with board to help as appropriate.
5.c. Assist with grant writing and follow-up, including managing any contracted grant writer.
5.d. Coordinate with OMA to solicit appropriate in-kind donations.
: ensure timely, accurate and helpful information sharing with board, volunteers, partners and community, as appropriate, including:
6.a. Oversee public relations and ensure press relations, speaking engagements, etc. are relayed to E-News, Diocesan News, local media, Episcopal Church newsletters, Facebook, Instagram and other social media as deemed appropriate.
6.b. Manage the creation and distribution of email newsletters from ACCW.
6.c. Manage the email and phone communication processes with the various groups; Run Leaders, Run Riders, Supply Room, Logistics Team, In-Reach, Out-Reach, Clergy, Diocesan Council, Clergy, Friends, etc.
7.a. Tasks that may arise, as directed by President that support ACCW mission.
Physical Demands:
· Ability to go up and down steps to work in office on second floor. Be able to walk between Supply, Storage and Office as well as the Van. Lift 35-40 pounds
· Perform physical tasks required to manage an office.
Qualifications
· College BA/BS or equivalent experience.
· Three years’ experience in non-profit work preferred.
· Supervisory/management experience highly preferred.
· Strong organization skills, ability to prioritize and be flexible, strong people and relationship-building skills, demonstrated strong problem-solving skills, demonstrated ability to multitask.
· Nonprofit fundraising experience preferred.
· Passionate about the mission of ACCW.
· Knowledge and ability to utilize computer systems and software, including experience with Microsoft Office (Word, Excel, etc.).
· Demonstrated ability to work independently with little direction, strong problem-solving skills, and ability to find solutions and resources without direction.
· Have a valid Hawaii driver's license.
· Possess a comprehensive facility with English grammar and language; strong written and verbal communication skills.
· As required of all employees of the Episcopal Church in Hawaii, voluntarily submit to and pass a criminal background check and maintain Safe Church Training credentials.
