What are the responsibilities and job description for the Billing Specialist position at A&J Refrigeration?
We are seeking an experienced Billing Specialist to join our growing team at A&J Refrigeration. The ideal candidate can multi-task in a fast-paced environment, with incredible and accurate attention to detail. This position requires excellent customer service and communication skills.
Essential Duties and Responsibilities:
- Organizes billable data received from Account Managers in order to generate customer invoices.
- Submits invoices/billings to customers via various methods requested (i.e., direct billing, or submitting the details via the specific customer portal).
- Partners internally to follow up on outstanding invoices to ensure they are being paid timely, reviewing and correcting disputes as needed.
- Generates professional quotes and helps to distribute to the customer portal.
- Answer phones as back-up to the Dispatch role and create service calls as needed.
- Follow manufacturer’s processes regarding billable work orders that fall under Warranty.
- Completes additional customer required forms as needed.
- Requests customer increases and monitor billable contract amounts.
- Assists with collections activities, contacts customers and performs account and payment reconciliations.
- Assists with the preparation of financial reports and statements.
- Provides accounting assistance to all departments during the budgeting process.
- Supports company leadership, field personnel and other staff with general administrative duties, as needed.
- Assists with Dispatching and Receptionist duties, as needed.
- Provides functional backup for other departments, as needed.
- Works closely with Billing team and managers to align personal and company goals.
- May include other duties, as assigned.
- Demonstrate in-depth knowledge of customer service contracts/agreements for the purpose of determining billable & contract service work
Qualifications:
- Minimum of 3 years of related work experience.
- Recent experience with Great Plains preferred, but not required
- Knowledge of Refrigeration Industry preferred, but not required
- Preferred Microsoft Dynamics GP experience & MS office suite
