Position Summary:
A-MAX Insurance seeks a Facilities Project Manager to support its Facilities Management Department. This role involves overseeing site improvements, new construction, and compliance projects. The Facilities Project Manager will manage project plans, coordinate inspections, set up sites, and ensure timely completion within budget. Strong multitasking and strategic skills are essential for handling multiple complex projects while maintaining accurate documentation and system updates. This is an In-Office Position.
Job Responsibilities:

Project Management:
Manages site improvements, new construction, special projects, and compliance implementations, including coordinating with landlords, brokers, and sales for project execution. -
Documentation and Compliance:
Prepares contracts, planning documents, requests for proposals, and ensures compliance with building codes, permits, and licenses. -
Budgeting and Procurement:
Develops and tracks project budgets, manages procurement of inventory, furniture, and materials, and reviews vendor payment schedules. -
Monitoring and Reporting:
Tracks project phases, leads weekly meetings, prepares progress reports, completion reports, and resolves disputes and claims. -
Onsite Operations:
Oversees site setup for new store openings and remodels, conducts site visits, and handles administrative duties, including documentation and invoice processing. -
Process Improvement:
Assists in developing new standards of practice and works with internal teams, external vendors, suppliers, and contractors.
Position Qualifications:

Bachelor’s degree in Business Administration or related field strongly preferred.

5 years of project management and facilities experience.

Must possess above average computer skills, i.e., experience with electronic mail and calendar; Microsoft Word, Excel, and PowerPoint presentation/graphics software applications. Smartsheet and Monday.com a plus.

A successful candidate must possess strong organizational and interpersonal skills.

Must have the ability to work well independently and in a team.

Excellent written and oral communication skills required.

Strong grammar and editing skills are required.
