What We are Looking for:
The Facilities Administrator provides administrative support to the Facilities Management Department including compliance, risk management, vendor management/negotiation, and documentation. The Facilities Administrator serves as the liaison between vendors and the facilities department team, and will use strategy and their strong multi-tasking skills to manage multiple functions while ensuring all processes and systems are accurately updated and following company standards.
A successful candidate has a high level of detail, is a self-starter, project oriented, and willing to provide a high level of support in a fast-paced work environment.
This is an in-office role in the Dallas area.

What We are Looking for:
The Facilities Administrator provides administrative support to the Facilities Management Department including compliance, risk management, vendor management/negotiation, and documentation. Job Responsibilities:
- Manages property risk including permitting, safety audits, and backflow inspections.
- Coordinates store audits, tracks WOs and audit results, suggests improvements.
- Handles property insurance claims and resolves escalated landlord issues.
- Monitors Facilities shared email for timely responses and manages front desk.
- Oversees call center for property maintenance and supplies.
- Assists in implementing Facilities SOPs and trains staff.
- Manages vendor contracts, renewals, and compliance.
- Handles administrative tasks such as invoicing and document management.
- Collaborates with internal and external stakeholders.
- Supports projects department and cross-trains within Facilities.
- Acts as executive admin for VP, documenting Facilities processes.
- Adapts procedures to standards for specific tasks.
- Bachelor’s degree in business administration, or related field; is preferred.
- 5 years of administrative and/or facilities experience.
- Experience in working with CMMS software. Service Channel preferred.
- Must possess above average computer skills, i.e., experience with Microsoft Outlook electronic mail and calendar; Microsoft Word, Excel and PowerPoint presentation/graphics software applications.
