Job Title: Lead Admin
Reports to: Reporting procedures are outlined by the most recent organizational chart.
Job Purpose: The purpose of this position is to ensure the smooth operation of the clinic and outdoor space assigned.
Requirements:
Job Duties and Responsibilities:
- Assist with implementing administrative projects as needed
- Create and coordinate curriculum and activities for clients
- Assist with implementing staff appreciation events
- Opening the clinic. This includes keeping grounds cleared of debris and appearance welcoming, checking for cleanliness, and restocking items as needed.
- Midday clean (including trash removal, tidying, and wiping surfaces)/restock of items
- Organizing maintenance companies to keep the clinic clean and safe and ensure its appliances are in good working order
- Complete minor maintenance activities around the clinic
- Overseeing the work of all administrative assistant employees to ensure they work productively and meet deadlines and follow company policies and procedures
- Monitoring office supply and mail/delivery inventory and distributing, organizing and ordering supplies and mail/deliveries as needed.
- Manage/pay bills and file receipts
- Recommending areas of improvement or waste
- Training administrative employees and meeting with them regularly (1 - 2x per week) to ensure duties are completed in a timely manner, train them to be the best they can be, and offer a supportive ear. Including leaving written feedback each meeting, recommendations for raises and disciplinary actions at review period. Recommending administrative assistant staff for disciplinary action & termination as needed
- Approving time off for administrative staff and ensuring that each front office has a welcoming administrative representation at all times. This includes covering the front office staff when needed at multiple locations.
- Reporting office progress to senior management and working with them to improve office operations and procedures
- Report/communicate any administrative needs to staff as appropriate through the use of the newsletter and/or other necessary communication methods
- Implementing emergency protocols as appropriate
- Ensure administrative handbooks are up to date. Ensuring all duties in administrative handbooks are completed on a daily basis

Required Qualifications: Healthcare administrative experience

BA in Business Administration or clinical field related to service delivery
Working Conditions: In Clinic 7:30am - 4:30pm with a 1 hour lunch break
Compensation: $17.00 per hour
