Job Summary:
Provide professional clerical and administrative support to a director-level leader, managing departmental responsibilities, and coordinating projects. Handle confidential and sensitive information, ensuring compliance with standards and regulations.
Key Responsibilities:
- Maintain documents, files, and policies, and compose/transcribe letters and reports.
- Screen calls, messages, mail, and visitors, and respond to inquiries.
- Coordinate meetings, travel, lodging, and event arrangements.
- Manage calendars, departmental schedules, and prepare for meetings and events.
- Perform timekeeping duties and maintain Kronos records.
- Enter, audit, and prepare routine and ad-hoc reports.
- Ensure compliance with safety standards and maintain inventory levels.
- Maintain strict confidentiality of patient health information (PHI).
Skills and Qualifications:
- Strong written and verbal communication skills.
- Excellent time management and organizational skills.
- Basic knowledge of Microsoft Office Suite (Word, Excel, Outlook), EPIC, and related systems.
- Ability to prioritize and meet deadlines in a fast-paced environment.
- Knowledge of patient privacy and compliance standards (HIPAA).
- Ability to work independently and as part of a team.
- At least 1 year of relevant administrative experience.
