The Master Scheduler will oversee the planning, coordination, and management of staff schedules to ensure optimal service delivery. This role requires a balance of logistical expertise, interpersonal communication, and the ability to handle dynamic and fast-paced situations. The Master Scheduler will collaborate with caregivers, nursing staff, patients, and administrative teams to meet the scheduling needs of patients while addressing staffing constraints.
Responsibilities :
- Develop, manage, and adjust schedules for all home health care staff, ensuring compliance with patient care plans and service requirements.
- Maintain communication with clients and caregivers to accommodate schedule changes, cancellations, and new service requests.
- Collaborate with case managers and nursing supervisors to ensure appropriate staff assignments based on skill level, patient needs, and geographic location.
- Monitor staff availability, PTO requests, and work hours to prevent scheduling conflicts and manage overtime effectively.
- Handle urgent scheduling changes, including on-call assignments, with professionalism and efficiency.
- Maintain accurate and updated records of schedules, patient care requirements, and staff availability using scheduling software.
- Regularly review and analyze scheduling data to identify trends, optimize staffing, and improve operational efficiency.
- Communicate with patients and their families to ensure satisfaction with scheduling and care delivery.
- Serve as the primary contact for all scheduling-related inquiries, addressing issues promptly and professionally.
- Work collaboratively with the HR team to onboard new staff and ensure adequate coverage during peak times or staff shortages.
- Bachelors degree in Healthcare Administration, Business, or related field, or equivalent professional experience.
- Minimum of 3 years of experience in scheduling, preferably in a home health care or healthcare environment.
- Proficiency in scheduling software and Microsoft Office Suite.
- Excellent organizational, multitasking, and time-management skills.
- Strong verbal and written communication abilities.
- Problem-solving skills with the ability to handle high-pressure situations effectively.
- Attention to detail and commitment to maintaining accurate records.
- Experience with home health care regulations and compliance standards.
- Familiarity with scheduling software such as Axxess, Wellsky, or similar platforms.
- Strong interpersonal skills and the ability to build positive relationships with patients, families, and staff.
- Understanding of labor laws and regulations related to overtime, breaks, and shift scheduling.
