Job Overview
We are seeking a detail-oriented Dispatch and Administrative Assistant to support our transportation team. The ideal candidate will have a strong background in office management and logistics, with experience in fleet management and dispatching. This role requires excellent organizational skills, the ability to analyze data, and proficiency in various software applications, including GPS and computer systems.
Duties
- Provide administrative support, and ensuring smooth day-to-day operations.
- Assist in transportation planning and management, coordinating schedules and routes for fleet operations.
- Utilize GPS technologies to analyze transportation data and optimize routes.
- Maintain accurate records of dispatching activities and fleet performance metrics.
- Collaborate with team members to improve operational efficiency and address any challenges.
- Prepare reports and presentations as needed for management review.
- Complete some HR requirements for all new hires and current employees.
- Maintain a system to ensure office and systems are running smoothly.
- Create and update forms and systems to ensure the policies and procedures are up to standard.
- Resolving any issues that may arise during transportation, including scheduling conflicts, driver behavior, or billing disputes.
- Maintaining accurate records of all transportation requests, including patient information, pick-up and drop-off times, and billing details.
- Utilizing dispatch software to efficiently schedule transportation services and dispatch drivers to patient locations.
- Matching available drivers and vehicles to patient needs based on location, vehicle type, and any special requirements.
- Maintaining contact with drivers to provide updates, address any issues, and ensure timely arrival at pick-up locations, while also communicating with patients regarding transportation details.
Experience
- Previous experience as an Administrative Assistant or in a similar role within the transportation or logistics industry is preferred.
- Familiarity with computer and database software
- Strong analytical skills with the ability to interpret data related to fleet management and transportation planning.
- Proficiency in using dispatching software and tools for effective communication with drivers and stakeholders.
- Excellent verbal and written communication skills, with a focus on customer service.
- Ability to work independently as well as part of a team in a fast-paced environment.
