Position: Full-time Administrative Assistant
Location: Fort Lauderdale / Dania Beach Area
Salary: $20-$25 per hour
Overview: We are seeking a detail-oriented and tech-savvy Administrative Assistant to join our construction company. The ideal candidate should be fluent in both English and Spanish, possess strong organizational skills, and have a proactive attitude towards managing various administrative tasks in a fast-paced environment.
Key Responsibilities:
- Project Management Support:
- Assist in managing construction projects from inception to completion.
- Coordinate project timelines and milestones.
- Prepare and update project documentation.
- Design and Rendering:
- Create project renderings and presentations as needed.
- Assist with design concepts and material selection.
- Customer Relations:
- Serve as a primary point of contact for customers and clients.
- Address inquiries and resolve issues in a timely manner.
- Maintain positive relationships with clients throughout projects.
- Procurement and Logistics:
- Order materials and supplies required for projects.
- Coordinate delivery schedules and logistics.
- Subcontractor Management:
- Communicate with subcontractors to schedule and coordinate work.
- Ensure subcontractors comply with project requirements and deadlines.
- Handle subcontractor invoicing and payment processing.
- Bidding and Estimation:
- Obtain bids and estimates from subcontractors and suppliers.
- Assist in preparing project cost estimates and proposals.
- Administrative Support:
- Schedule meetings, appointments, and site visits.
- Maintain accurate records and files.
- Perform general office duties such as filing, scanning, and data entry.
Requirements:
- Proven experience as an administrative assistant or in a similar role, preferably within the construction industry.
- Proficiency in computer applications such as Microsoft Office (Excel, Word, PowerPoint) and project management software.
- Strong organizational and multitasking skills with the ability to prioritize tasks.
- Excellent communication skills in both English and Spanish (written and verbal).
- Ability to work independently and as part of a team.
- Knowledge of construction processes, terminology, and materials is advantageous.
- Tech-savvy with a willingness to learn new software and tools.
