Position Summary
The Assistant Registrar for Registration and Scheduling leads a team responsible for the university-wide processes for class registration, class and classroom scheduling, curriculum and requisite maintenance, systems access, front-line support for students/faculty/staff/alumni, and compliance with internal and external policies and procedures (such as Selective Service Compliance).The position is expected to set operational goals for registration and scheduling that support the university’s mission and includes recommending and implementing process improvements to make the functions more efficient and service-oriented, as well as aligning with best practices of peers and the profession. This requires comprehensive and authoritative knowledge in order to be an effective leader, manager and an active participant in improving services to support the registration, scheduling, curriculum, and system access, processes for the University, including all campuses and locations. Model and provide outstanding service to all constituents, external and internal by ensuring the integrity and quality of services, which balancing continuous improvement.
Key Responsibilities
Determine strategic goals and implement process improvements utilizing technology where appropriate to make all functions more efficient and service-oriented with a digital first philosophy. These goals must align with the department, division, and university strategic goals. This includes providing vision and expertise to improving processes related to registration, scheduling, curriculum and requisite management, and system access, for all campuses and locations at the University.
Provide strategy and oversight of setup and processes within the student information system and other systems used to support registration, scheduling, and curriculum/requisite management. Oversee administration of access to student records related data. Collaborate with staff in the ongoing process of analyzing registration and scheduling services and provide strategy and technological improvements to maintain and improve these services. Collaborate with other senior administrative staff in the ongoing process of analyzing services provided by the office and participate in the revision, enhancement, testing, and writing requirements necessary to maintain and improve these services.
Responsible for academic classroom scheduling and curriculum management, including providing strategy for efficient scheduling and management of curriculum and enforcement of the university’s scheduling policy. Coordinate and plan with University Space Planning for analyzing impact of building projects and new construction which may impact overall classroom availability. Collaborate with academic departments in planning course offerings using scheduling software for strategic evaluation of the scheduling process to better align with student needs. Provide support and oversight for systems necessary to support academic classroom scheduling and curriculum management. Collaborate with Facilities Management and Academic Technology to resolve facility issues and ensure we are scheduling classrooms in an efficient manner to support University efficiencies and goals.
Responsible for providing efficient support, troubleshooting, and enhancement recommendations for registration, scheduling, and curriculum management/requisite systems, processes, and policies to align with best practices. Collaborate with colleagues throughout the university to resolve issues that prohibit registration and to plan solutions for the best service to students, faculty, and staff. Serve as liaison to the University Review Panel and any ad hoc working groups where our support is needed. Provide oversight for implementation of course fees. Use appropriate professional judgement when reviewing requests to update student records in unique and complex situations. Ensure operational efficiency and effectiveness for assigned responsibilities, including documentation of core processes, monitoring compliance, providing documentation and training to the campus community, and recommending organizational and procedural changes as appropriate.
Lead a team in the accomplishment of tasks/assignments and strategic goals set forth by the University Registrar. Direct and manage the registrar services team in a manner that creates a cohesive team that works together. This includes mentoring, coaching, encouraging and providing professional development opportunities; performance management and evaluation on a regular basis. Approve/deny vacation and leave requests. Promote a team environment. Coordinate the hiring and training of new employees for assigned units. Demonstrate and promote an environment of continuous process improvement.
Minimum Qualifications
Bachelor’s degree by start date or equivalent combination of education and related experience will receive full consideration.
At least 3 years related work experience in University Registrar office or related higher education experience, which could include working with vendors or organizations who provide services to higher education or other related jobs that connect with higher education institutions or college students.
Preferred Qualifications
Minimum of 3 years of management experience required.
Master’s degree is preferred.

Pay Rate: Target hiring range for this role is $51,281 – $67,947. The final offer will be commensurate with the candidate’s education and experience in relation to the minimum qualifications for the position, while also considering internal equity.
