Key Responsibilities:
- Manage and optimize daily calendars for leadership, including scheduling meetings, appointments, and events
- Serve as the primary liaison between executives, employees, clients, and external stakeholders
- Screen and direct incoming calls, take detailed messages, and handle inquiries promptly
- Facilitate internal communications, including distributing memos, scheduling presentations, and drafting correspondence
- Anticipate executive needs and prepare briefing materials, reports, or data in advance
- Exceptional written/verbal communication and interpersonal abilities
- Strong time management with a proactive, detail-oriented approach
- Ability to multitask, prioritize, and adapt to changing demands
- Must have a high degree of professionalism and confidentiality
- Advanced proficiency inMicrosoft Office Suite(Outlook, Teams, Word, Excel, PowerPoint)
- Experience with collaboration tools (Zoom, Slack, SharePoint) andERP/cloud systems
- Familiarity with digital calendaring and workflow management tools
- Bachelor’s degree in Business Administration, Communications, or a related field
- 5 years of experience as an Executive Assistant supporting C-level executives
- Ensure timely follow-up on action items and leadership requests
- Handle confidential information with discretion and professionalism
- Assist with ad hoc projects, event planning, and team initiatives
- Make domestic and international travel arrangements, including flights, accommodations, and itineraries
- Maintain and update internal databases, trackers, and documentation for leadership review
- Identify opportunities to improve office efficiency and implement solutions
- Troubleshoot technical or logistical issues (e.g., scheduling conflicts, AV malfunctions)
