Business Operations manages various shared support services and enterprise-wide functions to include records information management, business continuity planning, workplace safety and security, travel, food service, staff health clinic, fitness center, parking garage, facilities and real estate management, media operations and print and mail services.

The Records and Information Management Director is responsible for the success of AARP and its Affiliates' Records and Information Management (RIM) Program and is a subject-matter expert. Governs the Enterprise RIM Policy. Develops and implements a long-term strategy and roadmap to achieve compliance and mitigate the consequential risks of noncompliance. Plans and directs the day-to-day operations for the management of physical and electronic records lifecycles. Directly oversees internal groups and external vendors that support program execution and manages relationships with critical internal stakeholders and partners, including Information Technology Solutions (ITS) and the Office of General Counsel.


Responsibilities

  • Develops and delivers multi-year RIM strategic initiatives to minimize legal and financial risk throughout the enterprise.
  • Directs electronic and physical records management risk assessments, presents results to senior leadership, and oversees continuous improvement measures. Oversees the development and implementation of communications and trainings plans for all audiences across the organization.
  • Serves as AARP's RIM subject-matter-expert. Leads AARP's Records Information Liaison Matrix Group and sets strategy to mature the RIM program in alignment with industry best practices, while also providing strategic direction to AARP's state and affiliate offices on all RIM matters. Provides subject-matter-expert consultation with elevating courses of action to protect AARP records, including the archives.
  • Responds to sensitive investigations and legal holds in consultation with Human Resources, the Office of General Counsel, and other business units. Sets strategies and provides courses of action to protect AARP's records.
  • Develops and implements the RIM strategic plan, vision, mission and program goals and objectives. Leads the development and revision of the enterprise RIM policy, procedures, retention schedule, and guidelines. Ensures that the RIM Program components are standardized for managing information and records (electronic and physical) throughout their complete lifecycle.
  • Allocates and directs vendor resources to support and maintain the RIM program. Directs a team of internal, departmental Records Liaisons across AARP to develop effective procedures and retention schedules. Oversees the process management of the vault space to ensure historical archives collections are well preserved.
  • Provides expertise in RIM operations across the organization, including compliance/risk management, electronic records, physical records, legal, regulatory issues, and standards/best practices. Coordinates with legal to respond to record requests for regulatory audits, information requests, subpoenas, and retention holds.
  • Leads process improvement initiatives. Works with ITS to ensure proper development and implementation of infrastructure solutions across the organization, e.g., records management software, document management, imaging, offsite storage, etc. Directs the software selection for any electronic records management.

Qualifications

  • Bachelor's degree in Information/Library Science, Business Administration, Information Management, Business Law, or related degree with course work in records management.
  • 8 years in enterprise-wide records management experience that includes experience in managing/directing a records management function.
  • Fully demonstrated business acumen for Information and Records Management.
  • Experience with electronic and physical records program policies, procedures, standards, and best practices.
  • Extensive knowledge of compliance/risk management related to business legal, regulatory, and privacy issues
  • Exemplary records and information management knowledge, including records management systems, imaging and emerging technologies.
  • Affiliation with and active participation in ARMA, AIIM or similar records and information management professional association.

Flexible Work Arrangement (FWA)

AARP observes Mondays and Fridays as telecommuting workdays, except for essential functions. Remote work and telecommuting can only be done within the United States and its territories.
