Administrative Assistant
Position Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive support to our team. The ideal candidate will manage administrative tasks, coordinate travel, process expense reports and invoices in Workday, assist with calendar scheduling, and support reporting needs. This role requires excellent communication skills, a proactive mindset, and the ability to multitask in a fast-paced environment.
Key Responsibilities
- Travel Coordination : Arrange domestic and international travel, including flights, accommodations, ground transportation, and itineraries. Ensure all travel aligns with company policies and budgets.
- Expense Reports & Invoicing : Process and reconcile expense reports, track reimbursements, and manage vendor invoices using Workday. Ensure timely approvals and compliance with company policies.
- Calendar Management : Provide scheduling support, coordinate meetings, and resolve conflicts to optimize executive and team availability.
- Administrative Support : Handle correspondence, prepare documents, maintain records, and ensure efficient office operations.
- Reporting Assistance : Compile, analyze, and present reports using company systems and Microsoft Office (Excel, PowerPoint, etc.).
- Communication & Coordination : Serve as a liaison between departments, vendors, and external partners. Assist in event planning and team coordination efforts.
