Key Responsibilities
- Oversee daily office operations, manage administrative tasks, and support company operations by maintaining office systems.
Maintain office services by:
- Organizing office operations and procedures.
- Assisting with payroll.
- Assisting with AIA pay applications.
- Managing correspondence and answering office phone.
- Designing and maintaining filing systems.
- Reviewing and approving supply requisitions.
- Assigning and monitoring clerical functions.
- Ensure office efficiency by planning and implementing office systems, layouts, and equipment procurement.
- Communicate daily with subcontractors and vendors to ensure smooth operations.
Keep management informed by:
- Reviewing and analyzing special reports.
- Summarizing information.
- Identifying trends and proposing actionable solutions.
- Participate in payroll operations and assist with ensuring accuracy in employee records and payments.
Qualifications
- 3 years of office administration experience in the construction industry (experience with general contractors preferred).
- Proven ability to multitask, prioritize tasks, and manage time effectively in a fast-paced environment.
- High level of accuracy and attention to detail in documentation and financial tasks.
- Strong written and verbal communication skills to engage with employees, clients, and vendors.
- Proficiency in office software and tools.
- Must be authorized to work in the U.S.
