The Senior Manager / Associate Director Procure To Pay Concierge Team is a critical and exciting new role in the Allergan Aesthetics organization, leading the design & launch of the Concierge team to support the Commercial organization.  The Senior Manager / Associate Director is an expert in continuous improvement, which is a key driver in all facets of Operational Excellence activities within AA Finance. He/she drives efficiency initiatives, implements business harmonization projects, ensures related process standards are proactively and consistently applied, and builds and promotes the capabilities of Operational Excellence.  The role will utilize LEAN tools to define, measure and implement the initiatives, resulting in a better organizational scalability.

Typical duties/responsibilities may include, but are not limited to the following:

Key responsibilities

  • Manage and develop PTP staff to achieve Procure To Pay (PTP) excellence in the Aesthetics organization, processes and system implementation, improvement, enhancement and adjustments for all PO and Non-PO (ACR) end to end processes 
  • Manage the End-To-End purchase requisition-to-receipt work stream via Shopping Cart, vendor settlement, payment confirmation and invoice resolution processes
  • Lead adequate invoice resolution process with local business, vendor and BPO
  • Primary responsibility to ensure local requirements (tax, legal, compliance collaboration), operational policies, methodology, and processes are consistently applied and executed to regulations and policies
  • Liaise with local, BPO, FSS PTP stakeholders to ensure timely and satisfactory issue management, escalation and resolution is in place
  • Liaise with finance and business, as well as FSS and BPO, to perform month-, quarter-, and year end closure to meet internal and external requirements
  • Ensure strong governance and compliance within the end-to-end process
  • Manage the end-to-end contract to disclosure workstream via ACR, vendor settlement, expense, payment confirmation and invoice resolution processes
  • Primary responsibility to ensure PTP activities and processes comply with the effective application of agreed Accounting and Purchasing Policy, SOX Control Procedures and Governance Systems and local requirements (tax, legal, compliance)
  • Develop, evaluate, and review internal controls
  • Deliver the level of business support to be provided by team to meet operational needs according to local and global Service Level Agreements
  • Ensure a successful delivery of daily business requirements via purchase requisition system (DIT-SNAPP and/or SRM) through effective facilitation, tracking, reporting and team management
  • Play a key role in partnering with Finance/PTP, business units and other support functions to ensure that business needs are clearly, accurately and timely identified and translated into Shopping Carts via the PR systems (DIT-SNAPP/SRM)
  • Lead a staff of 6, and assist in the development of team members through training and coaching
  • Ensure sustainability of process changes, identifying opportunities to partner with the business on organizational implications to ensure successful adoption
  • Resolve complex and contentious issues to ensure effective business support is maintained
  • Actively participate in and advise other Procure To Pay projects, as required
  • Identify, involve and recognize indicators to evaluate the PTP processes to be improved / implemented
 

Additional Responsibilities

 

  • Co-Lead all activities in relation to continuous improvement projects in PTP
  • Support the development and delivery of Concierge and PTP goals and objectives
  • Prepare reports and perform root cause analysis as required; deliver outputs and KPI’s to defined business targets and Service Level Agreements
  • Work as part of the PTP Workstream team to deliver PTP objectives
  • Assist in developing, researching, compiling and analyzing supporting data       
  • Perform administrative duties requiring attention to detail and analysis
  • Travel as necessary

Required Education and Qualification

 
  • Bachelor’s degree in business or equivalent education, with minimum 10 years of suitable relevant industry experience and expertise 
  • 5 or more years of supervisory experience
  • Ability to use MS Office. SAP ERP know-how is beneficial (especially ePro and/or SRM)
  • Fluency in English required
