We are excited to invite a dedicated and compassionate professional to join our recently opened pediatric clinic. Our clinic serves a diverse community with a focus on providing culturally appropriate care, especially for our Hispanic patients. As a Medical Receptionist, you will be a vital part of our team, ensuring the smooth and efficient operation of the office in a kid-friendly environment.

Key Responsibilities:

  • Customer Service Excellence: Deliver exceptional service to both providers and patients through clear communication, empathy, and attention to detail.
  • Phone and Email Communication: Respond promptly and professionally to phone calls and emails, scheduling appointments and answering patient inquiries.
  • Office Operations: Ensure all front desk duties are completed accurately, efficiently, and in a timely manner. This includes managing patient check-in/check-out, collecting necessary documentation, and updating patient records.
  • * Insurance Knowledge: Be well-versed in medical insurance processes, including understanding deductibles, co-pays, co-insurance, and prior authorizations to ensure smooth patient flow.

Major Job Functions:

  • Maintain a team approach with staff and patients.
  • Greeting, check-in/out, and directing patients.
  • Verify identity and enter patient demographic and insurance information.
  • Verifies insurance eligibility
  • Collect co-payments, balances, or co-insurance at the time of the appointment.
  • Manage medical scheduling, including creation of the patient account, appointment bookings, cancellations, and rescheduling using our electronic documentation system.
  • Process medical records requests.
  • Send, receive and organize medical records and correspondence from previous physicians.
  • Scan paperwork into EHR (referrals, photo ID, and authorizations).
  • Fax referrals and follow up with referral sources
  • Maintain an organized front office filing system
  • Maintain tidiness of waiting area
  • Maintain patient records in compliance with HIPAA regulations and ensure confidentiality.
  • Answers, directs and takes messages of telephone calls and greets patients and visitors in a professional and courteous manner.
  • Ensure the office environment is organized, clean, and welcoming for patients.
  • Proficiency in Microsoft Office and experience in medical reception is required.

Requirements

  • Bilingual: Spanish-English speaking
  • Insurance Knowledge: Solid understanding of medical insurance processes, including benefit verification, co-pays, and prior authorizations.
  • Warm and Friendly Demeanor: Must possess a caring and patient attitude, with a strong desire to provide excellent customer service in a kid-friendly environment.
  • Excellent communication skills, both verbal and written, with a focus on customer service.
  • Proficiency in office software and electronic health record systems eClinicalWorks.
  • Ability to multitask effectively while maintaining attention to detail in a busy environment.
  • A high school diploma or equivalent; additional certification in medical administration is a plus.
