Position Overview:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide administrative support to the CEO. The ideal candidate will have exceptional communication skills, a positive attitude, and the ability to manage multiple tasks efficiently. This position will play a key role in assisting with day-to-day operations, managing schedules, and ensuring smooth communication within the company and with external stakeholders.
Key Responsibilities:
- Provide administrative support to the CEO, including calendar management, scheduling meetings, and coordinating travel arrangements.
- Serve as a liaison between the CEO and internal/external stakeholders, ensuring clear and timely communication.
- Prepare, proofread, and edit documents, presentations, and reports as needed.
- Assist with project management and monitor deadlines to ensure projects are completed on time. Help track the progress of ongoing projects by maintaining records, checking deadlines, and ensuring that all necessary materials or information is available to the production team.
- Manage confidential and sensitive information with discretion and professionalism.
- Organize and prioritize incoming correspondence, ensuring that all action items are addressed promptly.
- Coordinate, schedule, and attend meetings with the CEO, take minutes, and follow up on action items.
- Take meeting notes during the weekly review meetings and help follow up on action items or deliverables.
- Assist in preparing reports on production and performance for meetings.
- Help document feedback on sales and estimating processes.
- Help schedule interviews and coordinate communication for hiring purposes.
- Track employee training schedules or reminders for quarterly employee reviews.
- Assist with managing CEO’s business and personal responsibilities as needed.
- Coordinate with other departments and teams to ensure seamless operations.
Qualifications:
- Previous experience as an executive assistant, personal assistant, or similar role is preferred.
- Strong organizational skills Communication skills, Attention to detail, Multitasking, and Problem-solving skills.
- Exceptional written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Google, Mac)
- Proficient in project management tools.
- Ability to handle confidential information with discretion.
- Strong attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Positive attitude and a high level of professionalism.
