Executive Support
- Act as a point of contact between the Executive and the Leadership Team
- Screening and prioritizing incoming communications and requests, verbal and in writing, in a professional and courteous manner
- Assist with email correspondence, prioritize messages and follow up on action items
- Manage complex calendars and schedules, coordinate meetings, proactively prioritize and adjust meetings as needed
- Prepare and organize documents & reports for meetings and projects, ensuring easy accessibility and confidentiality as needed
- Handle errands and tasks, including some personal assisting
- Manage travel planning
Office Operations
- Conduct research and compile information needed for projects
- Maintain accurate records, databases, and filing systems
- Assist with ad-hoc tasks as assigned
- Maintain and proactively identify opportunities to improve efficiency or processes
- Process mail and shipments
- Complete expense reports
- Manage conference calendar
- Compose meeting agendas and draft minutes
- Renew memberships
- Process invoices/approve payables
- Maintain corporate documents and organizational charts
- Assist with annual strategic planning
- Manage company fleet/maintain relationship with fleet vendors
- Manage signature and retention of company contracts
- Manage and renew company licenses
Project Management
- Lead special projects assigned by the executive, ensuring they are completed on time and within scope
- Manage the status, resources, and timelines for all items
- Work with executive to provide updates on issues and status
Communication
- Answer phones, transfer calls, take messages
- Greet visitors in department
- Serve as public liaison for department/company
- Provide clear and concise written & verbal communications
- Practice diplomacy and professionalism
Other Duties
- Perform other functions and responsibilities as assigned
Experience
- Minimum 4 years experience as an Executive/Personal Assistant
Education
- A Bachelor’s Degree in Business Administration or related field is preferred. Relevant experience may substitute for formal education.
Licensure
- Valid CA Drivers License
Special Skills
- Proficient use of technology, especially Microsoft Office products
