Reporting to the Fleet Operations Manager, the Fleet Procurement Administrator will lead the facilitation of communication and movement of equipment between Fleet Procurement, branches, and other departments or stakeholders within ABC Supply. They will play a crucial role in ensuring smooth operations and effective collaboration to allow for decisive movement of fleet equipment both in and out of ABC Supply’s fleet of over 18.500 pieces of equipment that support the nearly 1100 branches within the ABC Supply family. In addition, this person will lead the Fleet Acquisition Process, MSO receipt process, and asset creation, which includes the attainment of all required asset documents and verification of asset condition.
This person will be a communication champion who engages fellow team members with the proactive distribution of the nearly 3400 pieces of equipment annually. The successful candidate will foster a collaborative communication culture as they provide the leadership required for achieving customer, operations, and corporate goals. Furthermore, the Fleet Procurement Administrator will aid in the development, administration, and continuous improvement of effective policies and procedures that support both the on-boarding and retirement of fleet equipment.
Responsibilities Include:
- Act as a primary point of contact between the National Fleet Center, other departments, vendors, and stakeholders.
- Coordinate and facilitate effective communication between the National Fleet Center, branch locations, and various departments, such as finance, operations, fleet services, registration, and procurement.
- Lead the Acquisition Process for assets coming into the ABC Supply Fleet, this includes the capture of all required documents and understanding of the asset condition.
- Share the information required to educate the branch on the proper use and maintenance of the equipment.
- Facilitate delivery changes as required.
- Assist in identifying and evaluating potential vendors or suppliers for Fleet equipment sales and delivery services.
- Administer retired equipment sales, including process facilitation of equipment that does not meet ABC Supply’s “To Be Sold” criterial.
- Work with suppliers to develop repair costs on retired vehicles.
- Manage vendor relationships, including monitoring contract performance, resolving issues, and facilitating contract renewals or terminations within the realm of new vehicle delivery and used equipment sales.
- Assist in the development and implementation of fleet management strategies, policies, and procedures.
- Ensure compliance with relevant regulations, policies, and procedures related to fleet management and procurement.
- Maintain accurate records and documentation related to fleet procurement, contracts, and compliance activities.
- Prepare reports, presentations, and other materials to provide insights and updates on fleet management activities to management and stakeholders.
- Manage various clerical duties within Fleet Procurement.
- Stay updated on industry trends, best practices, and technological advancements in fleet management.
Requirements:
- Bachelor's degree in business administration, logistics, or a related field (or equivalent experience).
- Proven experience in fleet management, procurement, or a related field.
- Exceptional communication and interpersonal skills to effectively collaborate with various departments and stakeholders.
- Strong business acumen with basic accounting knowledge allowing for the understanding of all financial statements.
- Familiarity with fleet management software and tools is a plus.
- Attention to detail and strong organizational skills to manage multiple tasks and priorities.
- Ability to work independently and as part of a team in a fast-paced environment.
- Knowledge of relevant regulations and compliance requirements in fleet management.
- Proficient in MS Office, project management and asset management systems.
