Summary: We are seeking a highly organized and experienced Executive Assistant to provide comprehensive support to the CEO of our dynamic and growing construction firm. The ideal candidate will be a proactive problem-solver with exceptional communication and interpersonal skills, capable of managing a wide range of administrative tasks and maintaining confidentiality.
Reports To: CEO
Responsibilities: Executive Support:
- Manage the CEO's complex calendar, scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, presentations, and reports.
- Screen phone calls, emails, and mail, prioritizing and directing inquiries as appropriate.
- Manage and process expense reports.
- Coordinate and attend meetings, taking minutes and tracking action items.
- Conduct research and prepare briefing materials for meetings and presentations.
- Assist with personal errands and tasks as3 needed.
Responsibilities: Project Management Support
- Assist with project coordination, tracking deadlines, and following up on deliverables.
- Prepare project-related documents and presentations.
- Coordinate communication between the CEO and project teams.
- Relationship Management:
- Build and maintain relationships with key stakeholders, including clients, partners, and vendors.
- Represent the CEO in a professional and courteous manner.
Responsibilities: Office Management Support:
- Maintain office organization and supplies.
- Coordinate office events and meetings.
- Assist with onboarding new employees.
- Confidentiality:
- Maintain strict confidentiality of sensitive information.
- Handle confidential documents and communications with discretion.
Qualifications: Education:
· Bachelor's degree in Business Administration, Communications, or a related field preferred.
Experience:
· 5 years of experience as an Executive Assistant, preferably in the construction industry.
Skills:
· Exceptional organizational and time management skills.
· Strong written and verbal communication skills.
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Ability to work independently and as part of a team.
· Ability to prioritize and handle multiple tasks simultaneously.
· Excellent attention to detail.
· Strong problem-solving and decision-making skills.
· Ability to maintain confidentiality.
