Job Summary:
The Advancement Specialist plays a pivotal role in the timely processing and acknowledgement of gifts from our donors. This role spans the gap between our Advancement (fundraising) and Finance teams to ensure data accuracy in both systems, and aids in reporting of fundraising outcomes to organizational leadership teams.

Experience:
3 years of relevant experience including CRM and ERP systems, accounting, and advancement.
The Advancement Specialist plays a pivotal role in the timely processing and acknowledgement of gifts from our donors. This role spans the gap between our Advancement (fundraising) and Finance teams to ensure data accuracy in both systems, and aids in reporting of fundraising outcomes to organizational leadership teams.
Essential Duties
Gift Processing 50%
- Create and update daily Advancement bank account deposit report.
- Collaborate with Finance, Grants, Legal, and Data Teams to investigate if source/destination of deposit is unclear.
- Daily download of gift data from our processor’s secure FTP site
- Prep donations and donor data for import in our CRM system
- Daily import of online donation records from our FundraiseUp platform
- Monthly gift Import of Thrift Store donations
- Create monthly Finance reports for Reconciliation.
- In collaboration with Accounting Manager and Manager of Data & Analytics, reconcile gift data in CRM with Ledger and Account Balances in ERP.
- Update weekly Intake & Referral Reporting
- Assist in ad hoc report creation as requests.
- Assist in creation of mailing lists from donor and gift data in CRM.
- Work with CRM Administrator and Manager of Data & Analytics to develop policies and procedures to ensure data integrity in CRM system.
- Run recurring data integrity checks and make necessary corrections in CRM

Abilities: The level and quality of being able to do something improved with training and experience.
- Basic knowledge of business accounting and advancement practices and procedures.
- Knowledge of CRM and ERP systems particularly understanding of data files and structures with ability to import and export.
- Ability to work both independently and in a team setting.
- Experience in Microsoft Dynamics CRM and ERP preferred but not required.
