Office Manager – Albany, NY
We are seeking a highly organized, detail-oriented, and proactive Office Manager to oversee daily operations and provide key administrative and legislative support to our team in Albany, NY. This role is ideal for a motivated individual with a background in office administration, ideally in a legal or legislative setting.
Key Responsibilities
Administrative & Office Operations:
- Provide comprehensive administrative support to attorneys and staff, including document preparation, editing, and proofreading.
- Manage and maintain physical and electronic filing systems, ensuring timely retrieval and secure storage of sensitive information.
- Answer and route incoming calls professionally, ensuring accurate message delivery.
- Greet clients and visitors, maintaining a polished and welcoming office environment.
- Coordinate internal and external communications for the Albany office.
- Manage conference room bookings, video conferencing, and call scheduling.
- Maintain cleanliness and organization of office spaces, conference rooms, and kitchen areas.
- Handle incoming and outgoing mail, FedEx shipments, packages, and faxes.
- Oversee office supply and kitchen inventory; reorder supplies as needed.
- Assist with billing system entries, timekeeping, and administrative support for legal staff.
- Collaborate with the Lake Success office to ensure consistency in administrative operations across locations.
Legislative & Compliance Support
- Monitor and track relevant legislative developments, regulatory updates, and policy changes impacting the firm or its clients.
- Prepare and distribute legislative summaries, memos, and reports for internal use.
- Assist attorneys with legislative research and analysis as requested.
- Maintain calendars of legislative sessions, committee meetings, and public hearings relevant to practice areas.
- Coordinate with local government offices, legal institutions, and external stakeholders as needed for compliance and reporting purposes.
- Ensure internal records comply with legal and regulatory standards.
Knowledge, Skills & Attributes
- 3 years of administrative or office management experience, preferably within a law firm, government office, or legislative environment.
- Associate’s degree or higher preferred; coursework in legal studies or public administration is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and multitasking skills; ability to manage shifting priorities.
- Strong written and verbal communication abilities with a high level of professionalism.
- Discreet and dependable, with the ability to handle confidential and sensitive information.
- Knowledge of the legislative process or government operations is highly desirable.
Salary & Benefits
- Salary: $55,000–$70,000 (commensurate with experience)
