General Description



This position is located at the Absentee Shawnee Tribal Health Authority, In. in Little Axe, Ok Community. The Health Grants responsible for managing the entire lifecycle of grants, including identifying potential funding sources, writing grant applications, monitoring project progress, ensuring compliance with grant guidelines, and submitting required reports to funders, essentially acting as the primary point of contact for all aspects of grant administration within an organization, often working with program staff to ensure proper utilization of grant funds. The Health Grants Administrator will work closely with Department Directors to evaluate budget needs and present data-driven recommendations to Administration. The Health Grants Administrator is responsible for ensuring data integrity and will work collaboratively with other departments, as needed. The successful candidate will possess collaboration and problem-solving skills and will provide seasoned guidance on compliance issues as well as key financial and operational best practices.


Responsibilities & Duties



  • Oversees overall grants flow process, documents procedures, and manages all aspects of process implementation including Institutional Review Board (IRB) and other approvals.
  • Administers all components of the grants cycle, including: database management, grant documentation and grant compliance.
  • Prepares and provides accurate grant data / information to Health Administration, Health Board, IRB, and other internal and external stakeholder.
  • Writing compelling Health grant applications, including project narratives, budgets, timelines, and required supporting documentation.
  • Identifies opportunities to optimize existing grant workflow, collaborating with other colleagues to implement while ensuring continued quality and timeliness across all aspects of the grant cycle.
  • Prepares relevant Health grant materials for Health Board, Executive committees and staff
  • Researching and identifying relevant Health Program grant opportunities from government agencies and other potential funders aligned with the Absentee Shawnee Tribal Health System’s mission and goals.
  • Reviewing grant guidelines, ensuring compliance with eligibility requirements, and coordinating internal approvals for grant applications, coordinating and working with Health Grants Administrator to ensure grant budget calculation is accurate.
  • Serves as advisor for grants management system including troubleshooting and assurance of data integrity;
  • Submitting Health grant applications electronically or via electronic mail, maintaining a database of active grant proposals, and monitoring submission deadlines.
  • Managing awarded Health grants, including budget monitoring, expenditure tracking, and ensuring compliance with grant terms and conditions.
  • Preparing and submitting timely progress reports to funding agency, including narrative updates and financial data, and maintaining communication with granting agencies.
  • Ensuring adherence to all grant regulations, reporting requirements, and internal policies.
  • Working closely with program staff to integrate grant funding into project activities and monitor impact.
  • Evaluating grant outcomes, collecting data to measure project impact and preparing reports required by Tribe, Health Administration and Health Board Members.
  • Analyze Health Grants monthly budget and assist with budget modifications and narrative if necessary.
  • Consults with Health Grant Directors to ensure that budget modifications are made in accordance with policies and regulations and approved by granting agency.

Education Requirements & Qualifications



Education and Qualifications
  • Bachelor’s degree and/or work experience in grants administration, or related field.
  • Experience with Tribal Health Grant Management and IRB preferred.
  • Advanced systems skills, especially experience with (MIP fund Software, Amplifund Software, Microix) and Excel.
  • Ability to communicate and design communication approaches for relaying technical, budgetary, and program details to staff, consultants, grantees, and applicants in clear and user-oriented manner.
  • Experience in implementing policies and procedures.
  • Ability to implement effective workflow processes and procedures.
Knowledge, Skills and Abilities
  • Excellent research abilities to identify relevant grant opportunities.
  • Strong writing and editing skills for crafting compelling grant proposals.
  • Financial management skills to track grant budgets and expenditures.
  • Project management skills to oversee grant activities and meet deadlines.
  • Detail-oriented approach to ensure compliance with grant/IRB guidelines and manage multiple responsibilities.
  • Willingness to take initiative, high level of self-motivation, and ease working independently or as part of a team.
  • Ability to think critically, acts decisively, and synthesizes program and operational issues.
  • Strong communication skill to interact with funding agency, program staff, and general public to communicate effectively orally and in writing.
  • Personal qualities of integrity, honesty, and discretion.
  • Must be able to keep on schedule, set priorities and exercise sound judgment within established guidelines.
  • Must be able to operate a calculating machine and other standard office equipment.
  • Must be computer literate required (Windows operating systems – Microsoft Word, Excel).
  • Must have a valid Oklahoma Driver’s License.
  • Must be able to pass a background check and drug screen.
Physical Requirements and Working Conditions
  • Must be able to sit, stand, stoop, bend or kneel for long periods of time.
  • Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.

  • Occasional lifting (up to 30 lbs)
