We are seeking a highly organized and adaptable Office Manager to join our team at Total Rentals in Everett. The ideal candidate will be responsible for a variety of administrative tasks, including invoicing, managing reports, creating standard operating procedures (SOPs), handling Certificates of Insurance (COIs), and supporting day-to-day office operations. This role requires strong communication and organizational skills, the ability to manage multiple priorities, and a commitment to supporting the expansion of the business.
Duties
- Accounts Receivable & Invoicing: Generate approximately 30-100 invoices per week for accounts receivable using the Point of Rental system.
- Accounts Payable: Input and code accounts payable data into the system, but not responsible for formal payments.
- Policy & Procedure Creation: Develop and maintain standard operating procedures (SOPs) for office operations and processes.
- Software & Reporting: Work in the Point of Rental system to manage day-to-day tasks and generate necessary reports.
- Insurance Documentation: Manage and track Certificates of Insurance (COIs) for vendors and clients, inputting data into the software.
- Administrative Support: Sort and scan incoming mail, handle deposits for the Everett store, and assist with general office organization.
- Onboarding & Training: Assist with onboarding and training new employees in the Everett location.
- Support Expansion: Help support business growth and operational needs, including streamlining processes for increased volume.
- Miscellaneous Duties: Handle other administrative tasks as needed to support office operations.

Qualifications
- High School diploma or equivalent required; some accounting coursework is preferred.
- 3 to 5 years of relevant experience in administrative or office management roles, with a focus on invoicing and office operations.
- Experience with Point of Rental software is preferred.
- Proficiency in Microsoft Office Suite; basic Excel skills required.
- Strong attention to detail and organizational skills.
- Flexible, outgoing personality with the ability to manage multiple tasks in a fast-paced environment.
- Ability to work independently and as part of a team.
Physical Demands
This job is primarily performed in an office environment. The role may require frequent sitting (often working at a computer), walking, standing, and occasional bending or reaching. There may be occasional lifting (e.g., mail, documents, and boxes up to 40 lbs). The ability to navigate a jobsite is expected for occasional office-related tasks.
