Accts Receivable/Accts Payable Specialist

Job Summary:We are seeking a detail-oriented and highly organized Accounts Payable (AP) & Accounts Receivable (AR) Specialist to manage the financial transactions related to vendor payments and customer invoicing. This role is responsible for ensuring the accuracy and timeliness of payments and collections while maintaining financial records and reconciling accounts. The ideal candidate will have strong knowledge of accounting principles, experience with financial software, and excellent problem-solving skills.

Key Responsibilities:

Accounts Payable (AP) Responsibilities:

• Process vendor invoices accurately and in a timely manner.
• Verify invoice approvals and ensure proper coding to the general ledger.
• Prepare and process electronic payments (ACH, wire transfers) and checks.
• Close out matching Purchase Orders.
• Maintain vendor records, including W-9 forms, COI, and tax documentation.
• Reconcile vendor statements and resolve discrepancies.
• Monitor and ensure compliance with company policies and accounting regulations.
• Assist with month-end and year-end closing procedures related to accounts payable.

Accounts Receivable (AR) Responsibilities:

• Generate and distribute customer invoices in accordance with contract terms.
• Record payments received and apply them to the appropriate accounts.
• Follow up on outstanding invoices and conduct collections efforts when necessary.
• Investigate and resolve payment discrepancies.
• Maintain accurate and up-to-date records of customer accounts.
• Assist with credit checks and establish credit limits for new customers.
• Prepare AR aging reports and provide updates on past-due accounts.

General Accounting & Compliance:

• Ensure compliance with financial policies, GAAP, and tax regulations.
• Support internal and external audits by providing necessary documentation.
• Work closely with the finance team to improve processes and efficiency.

Qualifications & Skills:

• Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
• 3 years of experience in accounts payable and accounts receivable.
• Proficiency in accounting software (e.g., QuickBooks, NetSuite, SAP, or similar platforms).
• Strong knowledge of bookkeeping principles and financial reporting.
• Exceptional attention to detail and accuracy.
• Strong problem-solving and organizational skills.
• Effective communication skills for interacting with vendors and customers.
• Ability to manage multiple tasks and meet deadlines.
• Proficiency in Microsoft Office Suite, particularly Excel.

Preferred Qualifications:

• Experience working in a multi-state environment.
• Familiarity with sales tax regulations and reporting.
• Knowledge of cash application and collections best practices.

Work Environment & Schedule:

• This is a full-time position with a hybrid work schedule.
• Occasional overtime may be required during month-end and year-end close periods.
