Position Overview:
We are seeking a motivated and organized HVAC Office Manager/Service Dispatcher to join our team. This role is critical to ensuring smooth day-to-day operations by managing office activities, coordinating service calls, and supporting our technicians. The ideal candidate will have strong communication skills, a knack for problem-solving, and an interest in helping customers with their HVAC service needs.
Key Responsibilities:
- Office Management: Oversee daily office operations, including answering phones, responding to emails, and managing appointments.
- Service Dispatching: Coordinate technician schedules for service calls, ensuring efficient routing and timely arrival at customer locations.
- Customer Interaction: Provide exceptional customer service by addressing inquiries, scheduling appointments, and following up on service requests.
- Inventory Management: Monitor inventory levels of HVAC parts and equipment, placing orders as necessary.
- Data Entry s Documentation: Maintain accurate records of service requests, work orders, and customer interactions.
- Billing s Invoicing: Assist with billing processes, ensuring that invoices are generated and payments are processed promptly.
- Collaboration: Work closely with field technicians, the management team, and other office staff to ensure seamless service delivery.
