Position Summary:
The Front Office Coordinator plays a pivotal role in ensuring smooth day-to-day operations at Abundant Life Center for Wellness. Responsibilities include managing front desk activities, scheduling appointments, maintaining patient records, coordinating communication between staff and patients, and ensuring a welcoming and efficient environment. This position requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously in a high-demand environment. The Office Coordinator also supports administrative functions, oversees office supplies, and ensures compliance with clinic policies to enhance the overall patient experience and clinic efficiency. Strong communication and problem-solving abilities are essential for success in this role. The ideal candidate will display an eager desire to advance within the business. Abundant Life Center for Wellness is a faith-based holistic healthcare facility and prides itself on natural and integrative health practices. This role will directly communicate with patients, assist the medical provider, and support efficiencies of operational work. This role will work on-site (with some remote work time) and uphold the core values of Abundant Life Center for Wellness to ensure that patients and their families have a welcoming environment and atmosphere of excellent care.
Essential Roles and Responsibilities:
· General: acts as a key assistant and patient resource for daily needs of service.
· Patient Support: answering phone calls, interacting with patients, scheduling patients, and communicating additional services or benefits that the patient and their families can receive to sustain best outcomes of patient-care.
· Organization and Tidiness: logging and filing paperwork, ensuring the front-desk area is clean, welcoming, and orderly each day.
· Technology Utilization: sending and responding to emails, usage of and inputs to the Electronic Medical Record (EMR) system, and Microsoft Office products to partner with medical provider and operational leader for assistance to daily needs.
-Business Operations Support: supports administrative functions, oversees office supplies, and ensures compliance with clinic policies to enhance the overall patient experience and clinic efficiency as well as a continual development of our processes and systems.
Weekly and Monthly Responsibilities:
- Greet and welcome patients and visitors with warmth and friendliness, embodying our value of Service.
- Handle phone calls and schedule appointments efficiently, ensuring a smooth and organized workflow.
- Execute patient check-ins and check-outs with accuracy and attention to detail and critical-thinking, reflecting our commitment to Excellence.
- Continual efforts to develop and streamline office processes and systems
- Maintain a clean and organized reception area, creating an inviting atmosphere for our patients and families.
- Assist with administrative tasks such as filing and data entry and usage of the EMR/CRM supporting the overall operations of the practice.
- Coordinate patient flow to ensure timely appointments and minimize wait times, demonstrating our respect for Valuing the Individual.
- Communicate effectively with patients, families, and team members, upholding our value of Integrity.
- May require remote clerical work outside of normal office hours.
- Gain and grow a working knowledge of integrative and functional medicine.
- Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the medical provider, patients, patient-families, and the business.
- Perform other duties as required to support business needed.
Essential Qualifications:
- High school diploma or GED required.
- Associate’s degree or higher in Business preferred.
- Experience and/or Certification
- 1-3 years’ experience as a receptionist / administrative assistant / office coordinator / relatable profession or within healthcare / private medical practices required.
- Knowledge and/or working experience within Integrative, Functional, Holistic healthcare preferred.
- Proficiency in Microsoft Office required.
- CPR certification preferred.

Job Type: Part-time
Pay: $15.00 - $20.00 per hour
Expected hours: 20 – 30 per week
