Overview
We are seeking a dedicated and professional Receptionist/Administrative Assistant to join our team. This role is for BOTH of our offices. One office is located in Norwalk, Ohio and the other is in Bay Village, Ohio. The candidate would have to be willing to go to both locations each week. We work in Norwalk typically on Mondays and Thursdays. We are in Bay Village on Tuesdays and Fridays. We alternate Wednesdays between the 2 offices. This role is essential in providing excellent customer support and ensuring smooth office operations. The ideal candidate will possess strong organizational skills, demonstrate effective time management, and have a friendly demeanor to create a welcoming environment for clients and visitors.
Duties
- Greet and assist visitors at the front desk, ensuring a positive first impression.
- Manage incoming calls with proper phone etiquette, directing them to the appropriate personnel.
- Provide administrative support including scheduling appointments, managing calendars, and coordinating meetings.
- Assist with office management tasks to ensure efficient operation of the workplace.
- Perform proofreading of documents and emails to ensure accuracy and professionalism.
- Support customer inquiries and provide exceptional service to enhance client satisfaction.
- Collaborate with team members on various projects as needed
- Verifying insurance
- Reviewing finances with patients
- Processing payments & insurance
Applicant must be friendly, caring, mature, reliable, organized, and demonstrate excellent customer service and social skills, self motivated work ethic.
Qualifications
- Proven experience in a front desk or administrative role is preferred.
- Strong office management skills with attention to detail and organization.
- Excellent time management abilities to prioritize tasks effectively.
- Bilingual candidates are highly desirable for enhanced communication with diverse clients.
- Familiarity with personal assistant responsibilities is a plus.
- Proficient in using office software and equipment.
- Strong communication skills, both verbal and written, with an emphasis on phone etiquette.
- Ability to work independently as well as part of a team in a fast-paced environment.
