The Director of Operations and Business Development will assist the Regional Director to manage the administrative, office, graphic design, grant writing, and execution of grant deliverables. This position will support the Regional Director in seeking funding opportunities and meeting with key stakeholders in the community.

This position requires strong organizational skills, punctuality, excellent writing and communication skills, exceptional attention to detail, interpersonal and social skills, and the ability to adapt to changing priorities as well as a strong understanding of organizing methodologies and best practices.

Pays : $70,000 - $75,000 per year

KEY ESSENTIAL FUNCTIONS :

  • Provides administrative support to the Regional Director including drafting correspondence, reports, and memoranda as directed.
  • Maintains an updated and current appointment calendar. Receives and screens telephone calls, mail, and visitors.
  • Supports the Director in maintaining organized and timely responses in daily activities throughout his area of responsibility.
  • Coordinates all staff involved to oversee grants, tracks project deadlines, and completes periodic and final reports.
  • Assists in the preparation of regularly scheduled reports.
  • Develops and conducts surveys to determine needs of the community; suggests areas for new funding specific programs.
  • Guides and facilitates in the research and development of grant proposals.
  • Analyzes and evaluates contract and grant proposal requirements to ensure that processes and expenditures are in compliance.
  • Coordinates with relevant departments to collect and organize required grant and contract documentation for record keeping and database maintenance.
  • Prepares all check requests for expenses and prepares expense reports.
  • Acts as directed by the Director’s office in providing support and communication between the office and other departments within the Network and with outside partners and the community.
  • Provides assistance to the Director and Executive Team on special assigned projects.
  • Accepts and performs temporary or long-term assignments to various departments within the facility as required by the Director and Executive Team.
  • Ensures administrative functions are carried out promptly for an efficient operation.
  • Prioritizes assignments and completes duties in a timely manner, conducting follow-up as necessary.

ADDITIONAL FUNCTIONS :

  • Develops and maintains a filing system.
  • Scans important documents, organizes, maintains, and labels electronic files and records. Occasionally drafts, edits, and schedules social media posts on related business pages.
  • Manages the planning, execution, and closeout of activities including the budget and monitoring of outcomes.
  • Oversees and supervises volunteers and staff for grants.
  • REQUIREMENTS :

  • Bachelor’s degree – Master’s preferred.
  • Minimum of one year previous relevant experience in Administration required.
  • 1 year’s previous relevant experience in Administration and grant writing.
  • Ability to use business acumen to exercise good judgment and decision-making.
  • Must be team-oriented and possess a positive attitude with a willingness to be flexible and helpful.
  • Demonstrates the ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Proven experience as an administrative assistant and / or paralegal.
  • Knowledge of office management systems and procedures.
  • Proficiency in MS Office Suite; knowledge of Google Suite and Adobe Suite is a plus.
  • Familiarity with maintenance of business pages on social media (Facebook, Instagram, Twitter) and communication platforms (Constant Contact, Mailchimp, etc.).
  • Must be able to multitask with strong time management and organization skills.
  • Excellent interpersonal skills and able to communicate professionally both verbally and in written form.
  • Commitment to cultural diversity and sensitivity is a must.
  • Ability to maintain a professional demeanor under pressure and operate with a keen sense of urgency and commitment to quality.
  • Bi-lingual or Multi-lingual (Spanish, Chinese, Cantonese, Hebrew, French, Polish) preferred.
  • Possesses a good sense of graphic design.
