Position: Finance Coordinator
General Description:
The Finance Coordinator reports directly to the Director of Finance and plays a key role in supporting the organization's financial operations. This position is responsible for performing a variety of tasks related to finance, payroll processing, and data entry, as assigned by the Director. The ideal candidate will have strong attention to detail, organizational skills, and the ability to manage multiple responsibilities in a fast-paced environment.
Key Responsibilities:
- Accounts Receivable & Payable: Apply school accounting codes accurately to both accounts receivable and payable transactions. Validate invoices and ensure completion of approvals.
- Payroll Processing: Assist teachers with payroll information, enter payroll data, track leave management, and prepare retirement benefits reports.
- Fund Management: Accurately record all annual funds received, issue receipts, and report to the Director of Finance and Director of Development.
- Cash Management: Manage cash receipts for bank deposits and maintain accurate records.
- Visa/Credit Card Management: Validate invoices and ensure completion of necessary paperwork.
- Budget Support: Assist in ongoing budget management by updating spreadsheets, gathering budget information, and preparing reports for board members.
- Human Resources Support: Assist in managing employee benefits, Section 125 Cafeteria plan, and provide general support to HR.
- Parent Association/PTO Support: Help facilitate fundraising efforts, including the collection of funds.
- Report Coordination: Generate reports as needed for fiscal, regulatory, and development activities.
- Cross-Department Collaboration: Work with IT and other departments, such as Food Service, to ensure smooth collection of funds through various platforms like PowerSchool and PowerLunch.
- Additional Duties: Provide support in other financial tasks as directed by the supervisor.
Knowledge & Skills Needed:
- Accounting Fundamentals: Knowledge of basic accounting principles, with coursework in finance, payroll, or accounting. Fund accounting experience is a plus.
- Software Proficiency: Strong skills in Microsoft Office Suite, especially Excel for data analysis and budget management. Experience with Google Workspace, including Google Sheets and Slides, is required for collaboration. Familiarity with MacBook and macOS is desirable, as these are commonly used tools in the office.
- Artificial Intelligence (AI) Applications: Familiarity with AI-driven tools for automating tasks like document processing, data entry, and task management is a plus.
- Excel Expertise: Proficient in creating and managing advanced spreadsheets, using formulas, and generating charts and graphs.
- Presentation Development: Ability to create clear, visually appealing presentations using PowerPoint or Google Slides.
- Organizational Skills: Capable of prioritizing multiple tasks in a fast-paced environment while maintaining accuracy and meeting deadlines.
- Strong Communication Skills: Clear, professional verbal and written communication with a focus on customer service providing responsive and courteous service. Effectively addresses inquiries and resolves issues using a solution-oriented approach, particularly in a school or office setting.

- Office Equipment: Proficient in the use of standard office equipment commonly found in a school accounting office, including multifunction printers/copiers, document scanners, desktop computers, and related peripherals.
- File System Management: Understanding of file system organization, including both physical and digital filing practices. Able to maintain orderly, secure, and easily retrievable records in compliance with school and district policies.
- Document Formatting and Creation: Proficient in formatting a variety of documents, including calendars, letters, memos, and reports. Skilled in creating tables and embedding charts, graphs, and tables into text documents to enhance clarity and presentation.
