Key Responsibilities:
- Greeting visitors
- Managing telecommunications systems
- Handling queries via phone, email and general correspondence
- Transferring calls and ensuring messages are passed to the appropriate staff member Managing meeting room availability, organization, and cleanliness
- Receiving, sorting, and distributing daily mail Handling travel arrangements
- Coordinating internal and external events
- Coordinating employee reward program and special events
- Managing office inventory, such as office and break room supplies, and placing orders as needed Stocking office and break room
- Assisting the HR team with recruitment, onboarding and training processes as needed
- Maintaining and organizing reception area, break rooms, and the overall appearance of the office
- Coordinating services with property managers as needed
- Perform other duties as assigned.
Profile/Experience:
- Proven experience in office management or similar role
- Strong organizational and time-management skills Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent communication and interpersonal abilities
- Ability to multitask and prioritize tasks effectively
- Knowledge of administrative procedures
- Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks
- Flexibility to help them adjust to new tasks should company or office needs change
- Strong interpersonal skills to interact positively with all employees
