Position Summary
In this role, we are looking for someone who cares about first impressions and understands that an organized, well managed office space is a key component to welcoming customers and employee happiness. The Ideal Candidate is a problem solver and cares about the details. This person understands that maintaining an organized and clean office space is important for our external and internal customers. This person brings a spirit of hospitality, problem-solving, and collaboration and will look for opportunities to improve the current environment.
Key Responsibilities:
  • Greeting visitors
  • Managing telecommunications systems
  • Handling queries via phone, email and general correspondence
  • Transferring calls and ensuring messages are passed to the appropriate staff member Managing meeting room availability, organization, and cleanliness
  • Receiving, sorting, and distributing daily mail Handling travel arrangements
  • Coordinating internal and external events
  • Coordinating employee reward program and special events
  • Managing office inventory, such as office and break room supplies, and placing orders as needed Stocking office and break room
  • Assisting the HR team with recruitment, onboarding and training processes as needed
  • Maintaining and organizing reception area, break rooms, and the overall appearance of the office
  • Coordinating services with property managers as needed
  • Perform other duties as assigned.
Profile/Experience:
  • Proven experience in office management or similar role
  • Strong organizational and time-management skills Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent communication and interpersonal abilities
  • Ability to multitask and prioritize tasks effectively
  • Knowledge of administrative procedures
  • Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks
  • Flexibility to help them adjust to new tasks should company or office needs change
  • Strong interpersonal skills to interact positively with all employees

The employee is required to have close visual acuity to perform activities such as viewing a computer terminal; preparing and analyzing data and figures; transcribing; extensive reading. The noise level in the work environment is usually moderate.
