Job Summary
The Program Assistant supports the Program Coordinator by maintaining and updating client plans in compliance with DDA requirements. This role involves managing both physical and electronic records, preparing materials for client assessments, and coordinating secure document transfers. The Program Assistant also assists with obtaining signatures and completing various administrative tasks, while ensuring professionalism and collaboration across all interactions.
Responsibilities and Duties:
- Assist with the development and revision of client plans and other required forms in collaboration with the program team.
- Copy, scan, and file completed plan documents in hard copy files.
- Upload plans and documents into designated folders in our software programs.
- Assist with ongoing maintenance of physical and electronic client records.
- Assist with preparation of meeting packets for client annual assessments.
- Coordinate secure transfer of confidential records between agency and external partners.
- Assist with procurement of signatures for plan documents.
- Assist with other duties as assigned.

Required Skills and Abilities
- Plan, organize, and execute tasks without direct supervision.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office 365 Suite (including Excel, Word, Outlook, and Teams), Adobe Acrobat Pro, internet browsers, and general computer navigation.
- Prepare, run, interpret and maintain reports and records with a focus on completion and accuracy.
Qualifications
- Must have a valid driver’s license and reliable insured vehicle for travel to various sites as needed. Do they need to travel anywhere outside of the office to perform their job?
- Must be able to pass and maintain an acceptable background check
- This position is part-time, requiring 24-28 hours per week, Monday through Friday. Flexibility in scheduling is essential, as work hours may vary based on the needs of the program. The Program Assistant should be adaptable and willing to adjust their schedule as required to support different tasks and deadlines.
Job Type: Part-time
Pay: $20.00 - $22.00 per hour
