The Coordinator will manage a variety of administrative tasks of the front end processes data entry/spreadsheet reporting to assist management and ensure the agency operations run smoothly and efficiently. The Coordinator will assist with the medical staff to ensure administrative clinic processes are complete. The Coordinator will assist management by tracking data and creating spreadsheets for reporting requirements. The Coordinator will complete client scheduling, correspondence, data entry, file management, and office supply management. Customer service and organizational skills are a priority, and this position is the first point of contact for visitors in the main office setting.
Duties will include but not limited to:
- Greeting clients/visitors, answering main office telephones to receive referrals and providing directions and general agency information on services.
- Organizes front office operations and procedures, such as flow of correspondence, mail systems, filing, requisition and ordering of supplies, inventory control and other clerical services.
- Provide direct support to clinical personnel in the functions required to maintain daily clinic including client registration, check in/out, scheduling appointments, receiving payment for services and processing general client requests.
- Provide support to administrative management by monitoring projects assigned, entering data, compiling and reconciling data, creating spreadsheets and reports to tract data for external reporting and auditing and document management to ensure compliance and effective service delivery.
- Provide support of the billing function which may include coordination of Medicaid (and other insurance company) verification and receiving payment for client services.
QUALIFICATIONS : Preferred Associate's or bachelor's degree and experience working with behavioral health client population. Minimum requirements of High school diploma or equivalent is required and 2 years' previous experience in a similar role managing front desk operations, data tracking and reporting, or working for a behavioral health or medical office.
Knowledge, Skills and Abilities required:
1. Must be proficient in Excel spreadsheets and data tracking/reporting and basic computer software programs such as the Access EHR system.
2. Excellent communication skills, organizational skills with the ability to prioritize and handle multiple tasks independently.
3. Professional and able to develop and maintain effective and productive work relationships with clients, internal and external personnel.
