Job Description:
The Payroll Specialist is responsible for processing and auditing payroll for employees across multiple states, ensuring timely and accurate execution of all payroll activities. This role supports full-cycle payroll responsibilities and requires a strong understanding of federal and state wage and hour laws. The ideal candidate is experienced, detail-oriented, and able to contribute immediately by assisting across multiple functions within the payroll department.
- Process in-house, multi-state payroll on a regular basis in compliance with applicable laws and internal policies.
- Review and audit timecards for accuracy and completeness prior to payroll submission.
- Prepare and review payroll registers, resolve discrepancies, and ensure appropriate approvals are in place.
- Ensure proper handling of garnishments, benefit deductions, and other adjustments.
- Provide payroll support to employees, including addressing inquiries related to pay, taxes, and timekeeping.
- Maintain payroll records and documentation in accordance with compliance and audit requirements.
- Assist with year-end processes, including W-2 preparation and reconciliation.
- Collaborate with HR, accounting, and management teams to ensure payroll accuracy and support broader organizational initiatives.
- Support payroll-related reporting and reconciliation tasks as needed.
Qualifications:
- High school diploma or equivalent required; associate or bachelor’s degree in accounting, business, or related field preferred.
- 3–5 years of payroll processing experience, including multi-state and full-cycle payroll.
- Proficiency in payroll systems and timekeeping software; experience with in-house payroll platforms preferred.
- Strong understanding of payroll best practices, wage and hour laws, and compliance requirements.
- Excellent attention to detail, organizational, and problem-solving skills.
- Ability to work independently, meet deadlines, and handle sensitive information with discretion.
- Effective communication and interpersonal skills for collaboration with internal teams and external contacts.
- Certified Payroll Professional (CPP) designation is a plus, but not required.
