Job Summary
The Business Support Administrator is an essential position that provides necessary finance, accounting, and administrative support for the organization. This individual assists with several recurring accounting processes and assists all departments with document management. This outgoing member of our team greets guests and clients, answers our main line, and helps keep the shared spaces of our office neat and tidy. This is a flexible position that could be full or part time.
Principal Duties and Responsibilities
Accounts Payable Duties
- Prepare and process weekly Accounts Payable batch including invoice processing, check processing, and mailing
- Process monthly credit card charges and organize documentation
- Maintain vendor paperwork (W-9's and certificates of insurance)
Accounts Receivable Duties
- Prepare Accounts Receivable invoices in accounting software.
- Process all cash receipts and apply to payments appropriately.
General Administrative
- Greet and direct office visitors
- Answer the main office telephone system and manage general office voicemail.
- Responsible for managing office and breakroom supplies
- Responsible for daily inbound and outbound mail
Performs other related duties as requested
Requirements:Skills and Qualifications
- Associate degree in accounting/finance related field or equivalent work experience in accounts payable/receivable
- Excellent communication skills (oral and written)
- Outstanding organizational skills which include being detail-oriented, multi-tasking, and collaborating with others to accomplish group goals.
- Proficiency in Microsoft Office applications, with a strong emphasis on Microsoft Excel, including the ability to create and manage spreadsheets, use formulas and functions, analyze data, and generate reports.

Experience with an ERP system required
- Examples include Plex, Syteline, Epicor, Microsoft Dynamics, SAP ERP, Infor, etc.

Physical Demands:
While performing the duties of this job, the employee is regularly required to stand, walk, stoop, crouch, bend and reach above shoulders. The employee frequently is required to use hands to manipulate objects, tools or controls; and talk and hear. The employee must frequently lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision and depth perception. The employee must comply with the company’s PPE requirements including but not limited to, safety glasses, hearing protection, appropriate gloves, clothing and shields for required tasks and steel toed safety shoes when present on the shop floor.
