Administrative Assistant Job Summary
The administrative assistant position handles a variety of tasks that offers support to all departments. This individual must have exceptional multi-tasking skills as well as excellent communication skills, with an upbeat attitude. The administrative assistant should be able to assist management and all visitors to the company by handling office tasks and providing polite and professional assistance via phone, mail and e-mail. They should be experienced in handling a wide range of administrative and receptionist support while working independently with minimal supervision. This individual should be well organized, flexible and enjoy meeting support challenges in an office of diverse people.
Administrative Assistant Responsibilities and Duties
· Answers phones and directs calls to appropriate team members.
· Responsible for taking inspection requests over the phone and via email for on-going projects.
· Provide general support to visitors.
· Collects daily field reports from special inspectors and ensures they are turned in on time.
· Track and organizes field/lab reports and store reports electronically and project file folders.
· Ensures filing systems are maintained and current.
· Orders, receives and maintains office supplies.
· Prepares work orders and job packets for vendors and clients.
· Responsible for making sure all vendor and client paperwork for projects is current and accurate.
· Prepare documents to be reviewed by the Engineering team.
· Coordinate with IT when maintenance is needed.
· Maintain office and kitchen supplies.
· Prepares dispatch schedule daily.
· Sends daily field reports to clients weekly.
· Pick-up, sorting and distribution of incoming and outgoing mail, parcel shipments and daily outgoing mail drop.
· Maintain photocopier meter as well as restocking photocopier paper.
· Perform data entry
· Assist with clerical tasks for other departments
Administrative Assistant Skills and Qualifications:
· High School Diploma or AA Degree (BA/BS degree preferred but not needed).
· At least 4 years of related experience, or an equivalent of education and experience.
· Proven oral and written communication skills with the ability to effectively interact with all levels within the organization.
· Construction background preferred.
· Proactive and maintains schedules, due dates and actively communicates with manager.
· Proficient in MS Office applications.
· Experience with Apple software preferred.
· Attention to detail and well organized is required.
