Position Summary
We are hiring an onsite Membership & Operations Coordinator for our team. This role focuses on overseeing administrative operations like managing office equipment and supplies, maintaining calendars, and executing database tasks including billing and event registrations. Additionally, it involves coordinating membership activities, verifying eligibility, generating reports, and supporting educational initiatives and other administrative duties as required.
Essential Functions and Duties • Administers phone system, copier, supply orders, and General Office calendar and email account • Executes all functions related to database management at the direction of the Executive Director (or assigned staff member), including but not limited to making check deposits, billing dues, setting up online products and event registrations, and processing registrations • Maintains database records, event templates, store products, messages and procedures, as well as runs reports • Works with ACEC National to execute annual membership verification process • Coordinates membership activities, including but not limited to responding to general membership inquiries, verifying membership eligibility for membership applications, creating new database record when needed for prospects or applicants and resignations on monthly membership report. • Verifies event attendance and reports educational credits when required to Registered Continuing Education Program • Interacts with members and nonmembers on a daily basis • Supports ACEC Colorado Scholarship & Education Foundation’s administrative needs as requested • Completes other duties as assigned
Position Type/Expected Hours of Work • This position is located in Denver, CO • This position reports directly to the Executive Director • This position serves ACEC Colorado, ACEC Colorado Scholarship & Education Foundation, and Consulting Engineers Political Action Committee • Standard business hours of 8:00 a.m.-5:30 p.m. (Monday-Thursday) and 8 a.m.-Noon (Friday) • Regular work on computers • Some local travel required • Possibility of evenings and weekends required for conferences/special events
• Minimum Qualifications 2-5 years of experience working in a professional environment • Bachelor’s or associate degree or equivalent experience • Experience working in a customer service environment • Experience performing general office administrative duties • Basic understanding of accounting principles • Experience with database management • Ability to work on a team comprised of both internal staff and external consultants • Interest in learning industry-specific terminology • Excellent verbal and written skills • Proficiency in Microsoft Office applications (Excel, Word and Outlook) • Familiarity with Adobe Acrobat Pro DC • Readiness to learn new technology and software • Basic knowledge of general office equipment • Ability to lift and move up to 30 lbs. • Legal authorized to work in the US without sponsorship • License to operate a motor vehicle or access to transportation for some work-related travel
