What are the responsibilities and job description for the Team Supervisor position at Aced Maintenance?
Lead, train and supervise a team of maintenance technicians, coordinators, and contractors. Oversee the day-to-day operations of maintenance for managed and non-managed properties. Ensure that all tasks are executed efficiently while following proper procedures.
Principal Duties/Responsibilities
- Prioritize, schedule and assign work orders based on urgency, skill set and importance
- Review the open work order report and inspection tracking report daily
- Cross check work orders and timecards daily
- Review each completed work order before turning it into billing. Confirm: before and after photos, receipts, description of work completed and billing rates
- Communicate additional work/bids needed to property owners. Follow up for approval
- Coordinate vendors as needed if unable to complete in house
- Ensure that staff are properly equipped with tools, materials, and knowledge to perform their duties
- Create and oversee training schedule for technicians
- Obtain bids as requested by the management team for turns and manage the turn project from scheduling to completion keeping the property owner informed with status updates
- Work closely with the maintenance coordinators and property manager on escalated issues and larger projects
- Review and summarize timecards at the end of each pay period and submit to HR
- Research and implement technology enhancement as needed
- Acquire new vendors and foster current vendor relationships.
- Conduct regular performance evaluations and provide coaching or correction action as needed to foster staff retention
- Oversee maintenance operations and best practices
- Ensure availability to staff by providing consistent support, guidance, and resources.
- Participate in the emergency on-call rotation
- Manage the office and technician on-call schedule
- Respond promptly to maintenance requests and emergencies
- Check and respond to emails promptly throughout the day
- Check and respond to voicemails promptly throughout the day
Leadership
- Develop and grow the maintenance team
- Develop strong working relationships with vendors, technicians and coordinators
Business Metrics
- Collect and analyze departmental data, such as open, pending, and closed work orders, categories of work orders, completion time, and use of technicians versus vendors.
- Meet/exceed individual and departmental maintenance profit goals
