This is dual role for an Accountant and Customer Care.

Our Accounting Specialist and Customer Care is responsible for answering inbound calls, keying orders, tracking purchase orders and shipments, and providing general assistance to internal and external customers. Performs general bookkeeping and transactional accounting duties, including Accounts Payable, Accounts Receivable, Sales Order processing, and general ledger entries. Accounting duties are performed for all companies in the company portfolio.

What You Will Do
- Maintain Event Calendar: coordinate with reps and hospitals on case information
- Entry of Sales Orders and POs in a timely manor
- Vendor invoices are entered and paid in a timely manner, within agreed terms and as directed by the President. Most invoices should be received via email.
- Order Confirmations
- Answer Phones
- Work with the field on RMAs
- Work with Quality and field representatives on customer complaints
- Surgical Rep support
- Order FedEx supplies and other MISC supplies needed for the warehouse
- Manage Altus cars
Secondary Support:
- Assist accounting with gathering POs from hospitals
- AR/AP Responsibilities
- Hospital pricing and approvals
- Work with Engineering and Purchasing on creating and maintaining BOMs for sets
- Runs open order report monthly and advises on back orders and clears old purchase orders.
- Maintain and develop positive business relationships with a customer's key personnel involved in or directly relevant to a logistics activity.
- Develop an understanding of customers' needs, and take actions to ensure that such needs are met to avoid back orders and disruption to customers
- Address back orders on a daily basis
- Confirm scrub receipts and close out cases in GSS in real time.
- Daily and direct communication with customers and sales reps regarding any shortages and options. Communicate same with Purchasing.
- Correct any discrepancies with sales reps, hospital purchasing, sterile processing department managers
- Liaise with distributors, and hospital staff on any pertinent issues
Who You Are
Must Haves:
- Three (3) years of customer service and order entry work experience.
- Associate's degree in accounting preferred.
- Knowledge of MS Office Word, Excel, Outlook, Access, and Project (or similar products) is required.
- Basic Accounting
Preferred:
- Advanced knowledge of spine anatomy
- Background in medical device industry is a plus

- Must possess excellent customer service skills, attention to project detail and the development of alternative plans to ensure satisfactory deliver of supplies, material, and equipment in accordance with contract terms.
