OVERVIEW
We are seeking a detail-oriented and proactive Project Coordinator to join our dynamic team. The ideal candidate will play a crucial role in supporting the office and project management efforts within the construction industry. This position requires a strong understanding of construction processes, effective communication skills, and the ability to manage multiple tasks simultaneously. As a Project Coordinator, you will assist in the planning, execution, and monitoring of various projects, ensuring that they are completed on time and within scope. The Project Coordinator will also maintain efficient and smooth operation of the office.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Answering the phone to assist in scheduling and communication.
- Assist with invoicing (Accounts Receivable and Accounts Payable).
- Receives, manages, and processes work order requests; ensures problems are resolved quickly.
- Maintain clear and active communication with bookkeeping team to ensure accuracy.
- Ensures office equipment is in proper working order and available for use.
- Maintains physical space, ensuring a safe, clean, and functional office environment.
- Acts as liaison between employees and any outside contractors needed to resolve specialized problems.
- Ensures safety standards are followed throughout facility.
- Maintains inventory of supplies; reorders as needed.
- Assist with design administration – process product submittals for designer’s approval
- Travel to job sites to record meeting minutes and make deliveries as needed.
- Performs other related duties as assigned.

MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
- Experience/Education:
o 2 years of construction and field work required.
o 3 years of office administrative experience required.
- Software/Applications (proficiency required):
o Google Email, Calendar, and Photo
o Microsoft Word
o QuickBooks Online
o Excel spreadsheets
- Required:
o Valid driver’s license
o Current insurance
o Reliable transportation for the flexibility of visiting job sites as needed.
- Excellent attention to detail, organizational, and time-management skills.
- Excellent verbal and written communication skills.
- Demonstrated math skills.
- Ability to perform well in a fast-paced environment.
- Willingness to work in most weather conditions.
Position Expectation
This position is onsite at ACG North America. The work hours for this role are Monday through Wednesday, 8am – 5pm, with a 1-hour lunch break. Additional and weekend work can be needed during busy season to supplement time needed to keep up with office correspondences, invoicing, meetings, and material acquisition. Travel to job sites is required on an as needed basis.
