Job Overview
My client, located in Hauppauge, NY is seeking a detail oriented Customer Service and Administrative Assistant for its growing business. In this role, you will be the first point of contact for our clients for order processing and customer inquiries including order entry and invoicing. The ideal candidate will possess strong communication skills, a client-focused attitude, and the ability to handle various customer inquiries effectively.

Responsibilities

  • Respond promptly and professionally to customer inquiries via phone, email, or chat.
  • Assist customers with order status, lead times, payments, returns, etc.
  • Maintain and update customer and product master data.
  • Create purchase order and communicate with location in Germany.
  • Assist with logistics and preparation for trade shows, customer visits, and travel coordination.
  • Support the field sales team by answering order and inventory related questions and data entry of sales reports.
  • Write and edit documents and reports, e.g. procedures and work instructions.
  • Process invoices and payments and receive shipments in ERP system.
  • Keep records and documentation of all incoming and outgoing shipments.
  • Back up to the Operations Associate to prepare small parcel orders by pickling, packing and shipping items.

Qualifications

  • Minimum High School Diploma/GED, Associates degree preferred.
  • Minimum 4 years’ experience working in customer service and/or administrative support or a related function
  • Knowledge of ERP software and Microsoft Outlook, Word, Excel, PowerPoint and the ability to learn new programs.
  • Proficiency with Quick Books preferable.
  • Strong interpersonal and communication skills with a customer centric attitude
  • Flexible and adaptable to challenges and changes with the ability to prioritize workload
  • Ability to maintain composure and deadlines under time pressure
  • Great attention to detail
  • Team player and a quick learner
  • Ability to work well under limited supervision.
  • Drivers License required to conduct minimal local business.

Job Type: Full-time

Pay: $25.00 - $30.00 per hour

Expected hours: 40 per week
