Job Summary:
The Administrative Assistant / Receptionist is responsible for performing a variety of office administrative duties and providing support to ensure efficient operations. This role will handle front desk tasks, answer and direct phone calls, greet visitors, maintain office supplies, and assist with general administrative functions.
Key Responsibilities:
- Greet and welcome visitors, clients, and employees in a friendly and professional manner.
- Answer, screen, and forward phone calls, taking messages when necessary.
- Maintain a tidy, organized reception area.
- Provide general administrative support, including filing, photocopying, and faxing.
- Schedule and manage appointments, meetings, and conference rooms.
- Handle incoming and outgoing mail, packages, and deliveries.
- Perform data entry, prepare reports, and manage basic office documentation.
- Assist with scheduling and organizing office events and activities.
- Help coordinate internal communications and office announcements.
- Assist with any additional tasks and projects as assigned by the supervisor.
Qualifications:
- High school diploma or equivalent; additional qualifications in office administration are a plus.
- Proven experience as a receptionist, administrative assistant, or in a related field.
- Strong organizational skills with the ability to multitask.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive and confidential information with discretion.
- Strong attention to detail and problem-solving skills.

Working Conditions:

- Occasional overtime may be required depending on business needs.
