Administrative Assistant
Job Summary
- A premier fast-growing acrylic/metal manufacturer and designer of displays and industrial solutions company is looking for an Administrative Assistant for the company. The company serves some of the biggest names in retail and industrial markets. This role supports the administrative needs of the sales and management teams. This role will provide data-entry support for *client product rollouts and project-related administrative tasks. To be successful in this role, you will need to be well-organized, have excellent data entry skills, strong time management skills, the ability to communicate effectively across the organization, and enjoy being part of a team.
General Accountabilities
· Assists the office team with daily administrative duties and completes a broad variety of administrative tasks that include setting up staff meeting and client meetings; and helping with travel plans for staff as needed.
· Proactively collaborate with the management team and office staff. Helping the staff stay informed of upcoming commitments and responsibilities.
· Screen calls as necessary by individuals seeking meetings and appointments with staff.
· Greeting visitors to our offices.
· Perform various research projects as requested.
· Perform data entry tasks associated with the company’s software tools and Production Management Systems.
· Enter a variety of data related to production work orders
· Prepare and sort documents for data entry
· Review and enter data updates in the systems
· Review discrepancies in data received and missing critical information
· Advise supervisor of issues related to data integrity
· Communicates with the general staff on behalf of the President and CEO to coordinate team or staff meetings.
· Assist with internal culture-enhancing activities, Company-wide functions, and activities.
· Interact professionally and respectfully with, the public, coworkers, vendors, and others in the company’s ecosystem.
· Attends meetings as needed and records/disseminates minutes as needed.
· Performs general office duties, such as ordering supplies, and maintaining records.
· Opens, sorts, and distributes incoming correspondence.
· Assist in coordinating catering for luncheons and other meetings.
Skills
- Excellent verbal and written communication
- Excellent time management and organizational skills
- Possess a Service and teamwork orientation.
- Ability to coordinate activities and projects as needed.
- Proficiency in MS Office programs (Word, Outlook, and Excel)
- Global Shop or other ERP Experience is preferred but not required.
- Previous experience in data entry or other related fields
- Excellent typing skills
- Deadline and detail-oriented
- 50 WPM typing skills at a minimum
Experience Required
- High School diploma at a minimum.
- 3-5 years administrative support (preferred)
Job Type: Full-time
Pay: $45,000.00 - $50,000.00 per year
