Job Description:
We are seeking a highly organized and detail-oriented professional to join our team as a Full-Time Bookkeeper and Executive Assistant with Financial Aid Responsibilities. This multifaceted role combines bookkeeping duties, financial aid assistance, and executive administrative support to the Chief Executive Officer (CEO). The position requires working on Saturdays, with an alternate weekday off to maintain a five-day workweek.
Key Responsibilities:
Bookkeeping:
- Record daily financial transactions and maintain accuracy in the general ledger.
- Manage accounts payable and receivable, including invoicing and payment processing.
- Reconcile bank statements and monitor cash flow.
- Prepare financial reports, such as balance sheets and income statements.
- Assist with budgeting and financial forecasting.
- Ensure compliance with financial regulations and standards.
Financial Aid Assistance:
- Guide students through the financial aid application process, including FAFSA and other funding sources.
- Maintain accurate financial aid records and documentation.
- Provide counseling to students regarding payment plans, grants, and scholarship options.
- Ensure compliance with federal and state financial aid regulations.
Executive Administrative Support to the CEO:
- Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations on behalf of the CEO.
- Handle confidential information with discretion and professionalism.
- Coordinate and facilitate communication between the CEO and internal/external stakeholders.
- Assist in organizing and coordinating executive outreach and external relations efforts.
- Oversee special projects and initiatives as assigned by the CEO.
Qualifications:
- Minimum of 2 years of experience in bookkeeping, accounting, or a related financial field.
- Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite (Excel, Word, Outlook).
- Strong organizational and multitasking skills with a keen eye for detail.
- Excellent communication skills with the ability to advise and assist students effectively.
- Ability to work independently and collaboratively within a team environment.
- Flexibility to work on Saturdays, with an alternate weekday off.
- Prior experience in educational administration, financial aid, or executive support is preferred but not required; training will be provided.
